Job Summary:
One of our clients are seeking a dedicated Clinic Office Assistant to join our healthcare team. The Clinic Office Assistant will provide essential support in a medical setting, ensuring efficient patient care and smooth clinic operations and serves as the first point of contact for clients at Colorful Minds ABA. This role involves managing the front desk operations, providing excellent customer service, and performing various administrative tasks to ensure the smooth running of the clinic.
Key Responsibilities:
- Client Relations Interaction:
- Greet and welcome clients and their families as they arrive at the clinic.
- Check in clients, verify and update necessary information in the electronic health record (EHR) system.
- Completion of all necessary requirements of new client intake (onboarding) process
- Client discharge paperwork processes.
- Ensure continuity of care by coordinating with various departments.
- Address client concerns and provide support to clients and their families.
- Answer incoming calls, schedule appointments, and handle client inquiries.
- Provide information about clinic services, policies, and procedures.
- On as an needed basis, provide fill in gaps (floater) during therapist changes/breaks or when necessary
- Administrative Duties:
- Maintain the reception area in a neat and orderly condition.
- Handle client registration and insurance verification.
- Manage client records and ensure confidentiality and compliance with HIPAA regulations.
- Coordinate with clinic staff to ensure timely and efficient client flow.
- Communication and Coordination:
- Communicate effectively with clients, families, and clinic team members.
- Relay messages and information accurately between clients and clinic staff/team.
- Schedule and confirm appointments and follow up on missed appointments.
- Assist with the coordination of client referrals to specialists or other healthcare providers.
- General Support:
- Assist with administrative tasks such as filing, faxing, and scanning documents.
- Participate in staff meetings and training sessions as required.
- Support clinic operations and contribute to a positive team environment.
Qualifications:
- High school diploma or equivalent; additional certification in healthcare administration is a plus.
- Previous experience as a clinical receptionist or similar administrative role preferred with at least 2 years experience.
- Proficiency in using EHR systems, Microsoft Office Suite, and other office equipment.
- Excellent communication, interpersonal, and organizational skills.
- Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
- Strong attention to detail and commitment to maintaining client confidentiality.
Working Conditions:
- Full-time position; may include occasional evenings or weekends depending on clinic hours/needs/trainings.
- Primarily a desk-based role with regular interaction with clients and staff.
Physical Requirements:
- Ability to sit, stand, and walk for extended periods.
- Ability to lift up-to 10 pounds occasionally.
