I. Job Overview
Mission: St. Louis is a nonprofit that works extensively in the area of job training, diversion and violence interruption, with children in a variety of schools across St. Louis and provides home repair to a large number of homeowners throughout the city. We are located at 3108 N Grand and the position will require you to work in the office 40 hours a week. The assistant controller role is an internal, highly detailed and process-based role in which you will be responsible for managing all facets of the financial statements in QuickBooks, monthly and year-end closes and all of the subsequent journal entries required to close the books. You will also handle the entire auditing process from ensuring accurate processes and procedures are in place, book month-end and year-end entries, oversee the organization’s Tax Credit donations and transactions, and overseeing all aspects of the receivables and payables process.
This position requires an outgoing, friendly personality who is also good at follow-up and maintaining a working list of deadlines and meeting them. At times, you will have to navigate challenging situations, be it working with program leads to give you the necessary information you need to ensure accuracy of the financial statements. You will be the liaison between the Accounting & Finance team and the Development team, working diligently with both sides to help project company revenue and expenses across the organization. You will spend your time meeting with program leaders and staff, the accounting team and even granting agencies to maintain a clear, systematic process of tracking and booking revenue and expenses at the accurate time. You will assist the Chief Financial Officer with reports and other projects on an as needed basis. Partial remote work will be an option after a year of employment. Reliable transportation and timeliness are a must.
You will also be responsible, as are all company staff members, for serving on an internal team to help the organization run smoothly and helping fundraise for the organization. Details about these tasks will be discussed in further detail after your start date and won’t take an inordinate amount of your time.
II. Job Description & Responsibilities
The Assistant Controller position reports directly to the Director of Accounting, with sideline reporting to the CFO.
Responsibilities include, but are not limited to:
1. Financial Management:
- Assist the CFO in all areas of financial management, including reporting, forecasting and budgeting
- Along with the Director of Accounting, be up to date and in compliance with all nonprofit accounting standards and industry requirements
- Help prepare the annual financial plan by working program leaders to understand their budgets, revenue sources, and work with them to plan expenses for each fiscal year
- Work with the Development team to create annual revenue plans across all segments of the business
- Work closely with the Accounting team to understand each program’s grant requirements, commitments and help prepare reports and budgets as needed
2. Financial Reporting
- Utilizing reports from QuickBooks Pro, run monthly profit and loss reports by each program to ensure data accuracy and timely updates have been made and recorded
- Meet with program leaders to compare budget to actuals on a monthly basis; provide monthly variance analysis reviews
- Run monthly P&L reports and run variance analysis for the CFO and the Executive leadership team, providing insights and assist with decision making on key topics
- Prepare financials and variance analysis for the quarterly board meeting
3. Audit Lead
- Lead the external financial audit for the organization, preparing the financial statements and all documents for the annual audit and running point with an external agency
- Ensure the company’s books are accurate and prepared prior to the audit, ensuring all grant revenue and expenses are recorded properly
- Record all appropriate journal entries to the ledger
- Prepare the staff accountants for the audit through meetings and discussions, providing insight and direction on what needs to be done prior to the audit starting
4. Tax Credits:
- Oversee the state tax credits (and corresponding donations) on the financial side that the organization receives, working closely with the Development team to ensure they are booked and tracked accurately (this will not take a large portion of your time)
5. Accounts Receivable & Payables:
- Oversee the entire Accounts Receivable & Payable process ensuring bills are paid on time and that revenue is entered, booked and received on a timely basis
- Prepare a weekly A/R aging report to track delinquent revenues and follow-up with third party funders to ensure timely payments
6. Ledger Entries:
- Perform data entry and general ledger journal entries (i.e., payroll, depreciation, etc.) on a regular basis
- Responsible for the balance of all balance sheet accounts, ensuring accuracy and performing entries when necessary
On top of being responsible for these tasks, the right candidate will be someone who can work alone but also as part of a team. Prior experience in handling an audit is a requirement, as is experience in preparing budgets and performing variance analysis. An analytical mind is imperative for this job, as is a thorough understanding of QuickBooks.
This is not a complete list of your duties; you will be pulled into ad hoc assignments by members of the executive team on a periodic basis. You will work with your immediate supervisor to help set priorities on what needs to be done first.
