Duties:
1. Customer Service Process Management:
Oversee the customer service operations within the Sales Department, ensuring
efficient and effective communication with customers and accurate data/ticket entry in
HubSpot.
Help develop and implement best practices for customer interaction, ensuring a high
standard of service quality and closure rate.
Handle complex customer queries and issues, providing timely research and resolution.
Manage the customer pickup process
2. Sales Operation Execution:
Manage and execute Due Nows, Sales Order (SO) closures, refunds, and other related
sales operational tasks.
Ensure accurate and timely processing of sales transactions to maintain customer
satisfaction and trust.
3. Accounts Receivable and Collections:
Act as the last line of contact for collections, managing overdue accounts receivable (AR)
and ensuring timely customer payment.
Develop and enforce effective collection strategies to minimize outstanding debts and
improve cash flow.
4. Style Guide Management:
Regularly work with Graphic Design Team to update the style guide to ensure it reflects current offerings, ads, company branding, and product information.
Communicate changes and updates in the style guide to the sales team, ensuring
consistent application across all customer interactions.
5. Sales Coverage:
Understand all sales processes to ensure continuity when Sales Ops Manager is absent.
Cover sales reps books when needed
Handle all customizer orders (future state)
6. Cross-Functional Collaboration
Work closely with the production team, ensuring all RMA; are received and properly
processed.
Follow up with production to make sure order corrections are resolved in a timely
manner.
Ensure production is aware of trending product issues
Collaborate with DTC Customer Service for easy customer handoff and best practice
sharing
7. Performance Analysis and Reporting:
Prepare and present regular reports on customer service and sales activities to senior
management.
