Role Description
Unicorn Consulting Solutions, LLC is seeking a Senior Project Coordinator to lead and execute document control, project controls, and administrative tasks for the firm’s internal needs, as well as external engineering and construction projects. The Senior Project Coordinator will work closely with Executive leadership to ensure effective organization and implementation of projects and tasks. This position will manage a diverse group of tasks and be responsible for leading and executing assignments of varying complexities. The Senior Project Coordinator may need to attend on-site meetings and/or work on-site at the client’s office 2-3 days per week and will otherwise have the flexibility to work remotely in the United States.
Responsibilities include but are not limited to:
Document Control:
- Establish/execute document controls strategy, systems, policies, and procedures within corporate or client guidelines.
- Execute collection, authorization, publication, storage, retrieval, and retention of documents.
- Manage document processes and systems to ensure control and availability.
- Review new and revised documents for suitability and conformance to company or client standards.
- Manage the document lifecycle and perform other document control tasks for engineering and construction projects as required.
Project Controls:
- Maintain thorough knowledge of project plans, specifications, schedules, contractor's plans, and related documentation for assigned projects.
- Verify and log documents submitted by contractors including RFIs, submittals, shop drawings, change order requests, and daily reports, and distribute relevant information to project staff and clients.
- Prepare regular project status reports to monitor progress, schedule, budget, and staffing.
- Support project staff with contract data and documentation collection.
- Assist with stakeholder management.
Administrative
- Develop/distribute agendas and meeting minutes for internal and external project status meetings.
- Coordinate with Executive leadership to organize the dates, times, formats, and materials for internal and external meetings.
- Assist with reoccurring administrative duties related to internal marketing and operations tasks as needed.
Minimum Qualifications
- Bachelor’s Degree in Business Administration, Construction Management, Architecture, or a related field and 6 years of progressive experience in project administration including at least 5 years in the public transit industry (10 years of experience in lieu of a degree).
- Knowledge of document control and industry databases, including e-Builder, Procore, ProjectWise, OneDrive, SharePoint, and similar systems.
- Expert knowledge of MS Office Suite including Word, Excel, and PowerPoint.
- CAPM, PMP, and/or MS Office certifications preferred.
- Knowledge of P6, MS Project, and/or Bluebeam Revu a plus.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
