Position: Office Administrator
Plymouth Meeting Friends School seeks an experienced administrative assistant with excellent interpersonal and technology skills. Reporting to the Head of School, the Office Administrator supports the administrative team and teachers, ensuring smooth daily operations. They serve as the official greeter and information source for students, families, faculty, trustees, and visitors, while maintaining positive connections within the school's diverse community.
Key responsibilities include:
- Updating student and family handbooks and directories annually
- Updating campus health and safety plans
- Managing the school’s weekly and annual calendars
- Supporting planning, logistics, and communication for school programs and events
- Providing administrative support for the Head’s office, including disseminating school-wide documents and notices
- Creating and sending the daily “Blue Note” email and the weekly “Virtual Red Folder” all-school newsletter
- Maintaining and distributing student reports and records, including medical information
- Monitoring updates related to transportation, attendance, and family contact information
- Monitoring and updating the school website
- Coordinating and scheduling substitute teachers
- Organizing and performing administrative duties with judgment, discretion, and confidentiality
This position requires exceptional planning, time-management, organizational, and communication skills, flexibility, a professional demeanor, and a sense of humor. The Office Administrator must be adept at prioritizing varied requests and producing high-quality, accurate work efficiently. They should also maintain the confidentiality of sensitive information and demonstrate proficiency in Google Suite and, ideally, Blackbaud.
The ideal candidate enjoys working in an elementary school environment and embraces the challenges and joys of an independent school office. The role includes receptionist duties, general office organization, and supporting various school-day functions, with some evening and weekend hours for special events and projects.
Qualifications: A bachelor’s degree and 2 to 4 years of experience as an administrative assistant or in a similar role are required. Familiarity with and appreciation for Quaker principles are expected. We actively seek candidates who reflect the rich diversity of our school community.
