What You’ll Do:
As an Executive Project Coordinator, you will play a pivotal role in supporting the CEO while simultaneously assisting in key projects within the organization. This dynamic position requires a highly organized individual with exceptional multitasking abilities, strong communication skills, and a proactive approach to problem-solving. Responsibilities include:
Executive Support:
- Provide comprehensive administrative support to the CEO, including calendar management, time management, organizational needs, and meeting coordination.
- Prepare and edit presentations, reports, and other documents for executive review, ensuring accuracy and consistency.
- Schedule and organize meetings, including agenda development, logistics coordination, and follow-up actions.
- Assist in prioritizing tasks and projects to optimize the CEO’s time.
- Develop and maintain a time management system to enhance efficiency.
- Provide personal assistance to the executive as required.
Project Coordination:
- Coordinate cross-functional teams and stakeholders to ensure alignment and successful project outcomes.
- Apply strategic thinking to project planning and execution, ensuring that project activities align with the organization's overarching goals and objectives.
- Anticipate future trends and challenges that may impact project outcomes, and proactively develop strategies to address them.
- Collaborate with senior management to provide insights and recommendations on how projects can contribute to the long-term success of the organization.
- Prepare and distribute regular project status updates to stakeholders and senior management.
- Ensure adherence to established processes and procedures within the organization.
- Coordinate with team members to ensure project milestones are met on time.
- Conduct research and analysis on various topics as needed.
- Maintain accurate project documentation, including project plans, progress reports, and meeting minutes.
- Monitor project deliverables to ensure they meet quality standards and specifications. Conduct regular quality reviews and implement corrective actions as needed to address any deficiencies.

Bachelor's degree in Business Administration, Project Management, and/or related field.

Proven experience (3+ years) in executive assistance and project management roles, preferably in a corporate environment.

Strong organizational skills with the ability to prioritize tasks and manage time effectively.
