Job Description: We are seeking a highly organized and personable Office Administrator to join our team. The ideal candidate will possess excellent communication skills and have a patient, friendly demeanor to effectively interact with our clients and support our office operations.
Duties:
- Greet and welcome clients in a courteous and professional manner
- Answer and direct phone calls, taking detailed messages when necessary
- Schedule appointments and manage calendars for CPAs and other staff members
- Maintain organized filing systems for client records and office documents
- Assist with preparing and distributing correspondence, reports, and other documentation
- Handle incoming and outgoing mail and deliveries
- Ensure the reception area and meeting rooms are tidy and presentable
- Coordinate office supplies inventory and place orders as needed
- Support administrative tasks for various accounting projects
- Manage office procedures and ensure organizational effectiveness
- Supervise and support administrative staff
- Handle payroll processing and maintain accurate records
- Coordinate office activities and operations to secure efficiency and compliance
- Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies
- Oversee file management and record keeping
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus
- Proven experience in office management or similar role, preferably in a CPA firm
- Strong organizational and time-management skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent communication and interpersonal abilities
- Ability to prioritize tasks and work under pressure
- Pleasant, patient, and professional demeanor when dealing with clients
- Ability to work independently and as part of a team
