Responsible for overall front office activities including the reception area, conference room scheduling and meeting arrangements. Responsible for directing and providing information to clients, vendors and firm employees.
Essential Functions and Responsibilities:
- Professionally handles all incoming calls.
- Answers telephones and directs the caller to the appropriate employee. Will transfer a caller to an employee’s voice mailbox when the employee is unavailable.
- Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
- Greets and directs clients, vendors and visitors to the firm a professional, friendly and hospitable manner.
- Provides information to employees and visitors as an information desk on a variety of topics.
- Communicates attendance and out of office information for the firm on a daily basis.
- Cleans up the reception area and conference rooms. Opens office, turning on lights and machines.
- Arranges meetings and schedules conference rooms.
- Orders meals for meetings as required.
- May do shopping for needed office products such as cream, candies, water, soda, etc.
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
- Oversees and communicates with janitorial service to arrange for necessary services.
- Handles coordination with vendor for seasonal landscaping changes to entrance area.
- Involved with planning and coordinating company events such as holiday parties, decorating and social events.
- Types memos and other documents.
- Handles other duties as required.
Position Specifications:
Knowledge
- Possession of a high school diploma or equivalent (GED).
- Minimum of 3-5 years relevant experience, preferably in reception desk and/or customer service capacity.
Skills
- Excellent phone etiquette.
- Excellent verbal and written communication skills. Must have exceptional interpersonal communication skills.
- Demonstrates a positive attitude and is a team player.
- High level of punctuality.
- Strong customer service drive.
- Knowledge of MS Office (Word, Excel, Outlook)
- Able to multi-task.
- Maintains a professional appearance.
- Dependable at work and is on time, follows instructions, responds to management direction and solicits feedback to improve performance.
- Ability to work independently on assigned tasks as well as to accept direction on given assignments.
- Able to work collectively with the firm staff and attorney’s.
