Job Summary: We are seeking a dynamic and versatile Executive Assistant/Office Manager to oversee a range of administrative and operational functions, including purchasing, facilities management, front desk operations, and some social media management. The ideal candidate will be highly organized, proactive, and capable of managing multiple tasks and priorities in a fast-paced environment.
Responsibilities:
Purchasing:
Develop and implement purchasing policies and procedures to ensure cost-effective procurement of goods and services.
Source and negotiate with vendors and suppliers to obtain competitive pricing and favorable terms.
Manage purchase orders, invoices, and payment processing in accordance with company policies.
Facilities Management:
Oversee the maintenance and upkeep of office facilities, including coordinating repairs, cleaning services, and security measures.
Manage office supplies and equipment inventory, ensuring adequate stock levels and timely replenishment.
Coordinate office space planning and layout changes to optimize workspace efficiency and functionality.
Maintain relationships with building landlords and be involved with lease negotiations.
Front Desk Operations:
Provide support for front desk duties, including greeting visitors and directing inquiries to appropriate personnel.
Social Media Management:
Create and curate content for social media platforms, including posts, updates, and multimedia content.
Monitor and analyze social media metrics to assess the effectiveness of campaigns and identify areas for improvement.
General Administrative Support:
Support members of the ELT as needed.
Provide administrative support to various departments as needed, including data entry and document management.
Assist with organizing company events, meetings, and other special projects as assigned.
Qualifications:
College degree in Business Administration or related field (preferred).
Proven experience in purchasing and/or facilities management.
Strong organizational and multitasking skills, with the ability to manage competing priorities effectively.
Excellent communication and interpersonal skills, with the ability to interact with employees at all levels of the organization.
Proficiency in Microsoft Office Suite and familiarity with social media platforms and tools.
Ability to work independently with minimal supervision and as part of a team.

Pay: $65,000.00 - $80,000.00 per year
