This position is responsible for the efficient day-to-day operations of the department. The Operations Manager is tasked with the supervision, coordination, and evaluation of all support staff to ensure excellent patient care and satisfaction. This position requires a significant amount of independent judgment.
Essential Functions
- Oversees the day-to-day operations of the clinic.
- Supervises, coordinates, and evaluates all support staff.
- Conducts monthly departmental meetings with non-provider staff.
- Maintains provider appointment schedules in computer system per MPHC guidelines.
- Handles patient complaints and prepares incident reports for leadership team review.
- Participates in the development, implementation, and maintenance of policies and procedures.
- Assesses and provides coordination for space needs and work orders within the facility.
- Provides input for budget development, monitoring, and financial forecasting.
- Reviews and approves all office and medical suppliers per MPHC procurement guidelines.
- Reviews, resolves, and approves invoices including labs and other patient account issues.
- Assists billing with claims and addendums from Providers in EHR system.
- Maintains on-call schedule.
- Coordinates with IT and EHR system teams to seeks resolution to system issues affecting operations.
- Creates an inclusive team environment where everyone feels valued and respected.
- Manages and interacts with offsite departments for PCMH integration.
- Supports and coordinates provider onboarding and credentialing.
- Maintains Recall Campaign system and prevent gaps of care.
- Ensures quality and safety standards are met per State, Federal, and Joint Commission regulations/requirements.
- Responsible for printing progress notes and images from EHR system for all records requests.
- With the assistance of the Chair, directly supervises employees in the clinical department.
- Consistent, reliable in-person attendance is required.
- Performs other duties as assigned.
Minimum Qualifications:
- High school diploma or Equivalent
- At least two years of prior leadership experience
Preferred Qualifications:
- Bachelor’s degree; can be substituted with at least two years of prior experience in a medical and/or dental environment
- At least two years of supervisorial/managerial experience in Public or Community Health
