Job Summary: The Assistant Manager supports the Property Manager in daily operations, ensuring a positive experience for residents and guests of the multifamily community. They are responsible for leasing available units, enhancing resident retention, achieving or exceeding net operating income projections, maintaining the property within budget, and upholding high standards of professionalism. The role requires proficiency in both assistant and leasing agent responsibilities.
Key Responsibilities:
- Leasing and Marketing:
- Assist in leasing apartments, including showing units to prospective tenants, explaining leasing terms, and processing applications.
- Implement marketing strategies to attract prospective tenants, manage online listings, and monitor advertising effectiveness.
- Tenant Relations:
- Address tenant inquiries, concerns, and requests promptly and professionally.
- Coordinate maintenance requests and ensure timely resolution of issues to maintain resident satisfaction.
- Administrative Duties:
- Maintain accurate records of leases, rent payments, and tenant communications.
- Assist with financial operations, including rent collection, budget management, and invoice processing.
- Property Maintenance:
- Conduct regular property inspections to ensure cleanliness, safety, and adherence to maintenance standards.
- Coordinate with maintenance staff and vendors for repairs and upkeep of buildings and grounds.
- Compliance and Legal:
- Ensure compliance with all local, state, and federal regulations related to property management and tenant rights.
- Assist in preparing and executing leases and other legal documents.
- Team Collaboration:
- Collaborate with other staff members, including leasing agents, maintenance personnel, and administrative staff, to achieve operational goals.
- Support the Property Manager in training and supervising junior staff members.
- Financial Reporting:
- Review monthly income and expense reports, analyze variances from budget, and provide recommendations for corrective actions.
- Customer Service:
- Ensure exceptional customer service standards are maintained throughout the property.
- Emergency Response:
- Respond to emergencies and participate in on-call rotation as required.
- Risk Management:
- Identify and mitigate risks related to property operations and resident safety.
Qualifications:
- Proven Experience: Demonstrated experience in property management or related field preferred.
- Knowledge Base: Comprehensive knowledge of leasing practices, property maintenance, and tenant relations.
- Communication and Organizational Skills: Excellent communication, interpersonal, and organizational skills.
- Software Proficiency: Proficiency in property management software and MS Office (Word, Excel, Outlook).
- Sales Proficiency: Demonstrated ability to effectively sell and lease units with a track record of achieving leasing targets.
- Collaboration Preference: Strong preference for working collaboratively with a diverse team to achieve shared goals and deliver exceptional tenant experiences.
- Assertive Management: Proven ability to assertively manage tenant relations and resolve issues promptly and professionally.
- Attention to Detail: Strong preference for meticulous attention to detail in all aspects of property management, ensuring accuracy and compliance.
- Work Under Pressure: Capable of thriving in a high-pressure environment, adeptly managing multiple tasks while maintaining a high standard of service.
- Self-Motivation and Proactiveness: Self-motivated and proactive in identifying and implementing improvements in property operations and tenant satisfaction.
- Bilingual Proficiency: Bilingual proficiency preferred, fluent in Spanish.
- Staff Supervision Experience: Experienced in effectively supervising and mentoring staff to optimize team performance and ensure operational excellence.
- Safety Awareness: Vigilant about maintaining a safe environment for tenants and staff, adhering to all safety protocols and regulations.
Working Conditions:
- Occasional evening and weekend hours may be required to facilitate leasing activities and resident events.
- Local travel for property visits and meetings may be necessary.
- Work involves frequent sitting and moderate walking.
- The role may involve occasional stress due to operational demands.
- Light lifting and carrying may be required.
- Regular use of computers, including monitors, is necessary.
Work Environment:
- Work involves both indoor office settings and outdoor environments.
- Tasks may include working in or around traffic areas and navigating slippery or uneven walkways.
- Exposure to dust, insects, animals, varying weather conditions, humidity, and interactions with the general public is possible.
- Personal vehicles may be used for job-related travel.
