Position Overview
The Mail Center Clerk ensures an efficient mailing operation for the company and agents. This position is responsible for processing and distributing incoming and outgoing mail and packages, gathering, preparing, and scanning daily incoming mail into workflow system to feed mail to specific departments, and collaborates with other business units in order to back scan existing documents into their workflows.
Essential Job Functions
- Opens and sorts incoming mail and faxes, ensuring all documents in envelopes are retrieved
- Performs scanning functions which include preparing batches for scanning, scanning mail for departments into specific workflows, and labeling and placing scanned batches into retention boxes for each department
- Prepares retention boxes that will be stored in warehouse storage until they are shredded
- Prepares outgoing mail for agents
- Updates and maintains agency address system
- Assists with mail that may have incorrect information
- Maintains and inspects machinery; places service calls on machinery when needed
- Fills mail that is printed through publishing platform by hand
- Runs reports for presort transaction totals and end of month documentation
- Assists customers in friendly and professional manner at the counter and over the phone
- Assists with incoming and outgoing overnight and UPS shipments, releases the security door for incoming delivery drivers
- Retrieves and distributes agency changes to the mailroom
- Processes overnight parcel and letter shipping
- Checks and maintains inventory, placing orders as needed
- Performs other duties as assigned

Education & Experience
- High school diploma or equivalent required
- Typically requires 0-2 years of related experience

- Maintain records of materials, supplies, time, and work performed
- Perform routine office work using basic clerical skills

Basic skill in:
- Labeling, preparing, parsing, and copying
- Performing routine maintenance on equipment and determining when and what kind of maintenance is needed
