Wake Spine & Pain, a leading healthcare provider specializing in pain management, is looking for a detail-oriented AP/Data Entry Clerk to join our team. Our ideal candidate would be a college student who is looking for work 10-15 hours a week. This position will consist of coming into the office about 3 days a week, working a couple hours each day to fulfill the following duties:
Overview:
This position will perform a variety of accounting and clerical tasks related to accounts payable, including data entry and mail handling. Upon receipt of an offer of employment, candidates must satisfactorily pass a required background check.
Data entry:
- Reads source documents, such as invoices, bills, or canceled checks, and enters data into specific fields using a keyboard or scanner
- Enter Incoming Checks using Remote Deposit system (insurance, patient checks)
- Scan and enter vendor invoices in a timely manner into Dext for all offices to be reviewed and processed / paid by Finance Manager on a bi-weekly basis
Accounting:
- Processes invoices, verifies transaction information, and pays invoices.
- Handling accounts payable for separate entities and vendors
- Contact vendors as needed to resolve issues with addresses or additional copies needed.
- Processing due invoices for payments
- Comparing purchase orders, prices, terms of payment and other charges
- Reconcile mileage and expense reports biweekly and send to payroll company for payment
Clerical:
- Sign for incoming registered or certified mail
- Sort and distribute mail by department, location or category (e.g. bills, notices, personal)
- Keep records of incoming packages, including their weight, return address and description
- Collect and prepare correspondence to be mailed (e.g. applying appropriate stamps, verifying addresses)
- Arrange for express delivery when needed
- Track mailroom supplies (e.g. stamps, envelopes, address labels)
Requirements and skills
- High school diploma
- Solid understanding of basic bookkeeping and accounting payable principles
- Proficiency in using accounting software and Microsoft Office Suite (Excel, Outlook, Word)
- Data entry skills along with a knack for numbers
- High degree of accuracy and attention to detail
- Excellent organizational and time management skills.
- Strong communication skills, both written and verbal.
