Job Summary:
Large CT-based Community Association Management company seeking full-time Property Assistant. This position acts as liaison between the Board, Community Association Manager (CAM), maintenance staff, vendors, owners and residents. Applicant should have excellent communication and customer-service skills, be able to perform in a fast-paced work environment and be capable with use of Microsoft-based products as well as other industry-specific technology. Suitable for career-minded individual with a minimum of one to two years experience as a Property Assistant or in the Property Management industry.
Job Description:
- Responding to phone calls and emails promptly and courteously
- Work order creation, follow-up and follow-through
- Letter and memo writing, as instructed, within deadlines provided
- Administration and coordination of property-specific maintenance-related items
- Schedule and coordinate client meetings
- Review and distribute Board packages in accordance with meeting schedule in contract
- Vendor correspondence
- Working with CAM on preparation of bid specs
- Bidding and contract negotiation assistance to the CAM
- Working with CAM on Special Projects/Capital Improvement Projects
- On-call emergency phone rotation
- Other duties, as assigned by Management
- During CAM absences:
- Accounts payables approvals (when time sensitive)
- Emergency triage

- Knowledge of Microsoft products (Word, Excel, Outlook)
- Must be a quick study in computer-based programs (training to be provided)

- Must excel in writing and be able to create/produce letters that are grammatically sound
- Must be a team player and willing to go above and beyond to get work completed as assigned.

During the introductory period, this role requires being fully onsite at our Norwalk, CT office. Once trained and fulfilling role responsibilities, a hybrid option is available with the expectation to be in office at least three times a week.
Office Hours:
Monday through Friday 9:00 am - 5:00 pm
Overtime may be required based on company needs
