The Assistant Property Manager (APM) will be an integral member of the commercial property management team and will assist with the administrative demands of the department. The APM will provide high level administrative support and professionalism related to all assigned tasks.
Job Duties:
Tenant Relations:
- Build and develop service-oriented relationships with tenants to ensure high occupancy and tenant satisfaction.
- Answer and respond to tenant and vendor phone calls and emails in a professional manner.
- Draft memos for distribution and/or make phone calls to tenants related to lease issues such as inspections, maintenance or repair projects, and obtaining updated insurance certificates.
- Track work orders and update tenants as repairs and routine maintenance are completed by vendors.
- Distribute access fobs or parking permit tags to tenants as needed.
- Coordinate tenant move-in/move-out procedures in accordance with Company protocol.
- Assist in marketing the properties to potential tenants.
- Conduct property tours/showings.
Lease Administration:
- Create and maintain digital lease files.
- Provide new tenants with executed leases, welcome letters, tenant contact forms and accounting support.
- Draft lease abstracts and submit to PMs for review, input lease information into property management accounting software and review for accuracy.
- Review receipt of rent payments from tenants, issue formal notices to tenants of discrepancies or delinquencies in compliance with Company procedures.
- Track tenant insurance compliance and collect W9’s
- Execute and manage lease renewal policies and programs, enforce occupancy policies and procedures.
- Perform regular market surveys to make rent adjustment/concession recommendations.
Financial and Reporting:
- Assist PMs with preparation of operating budgets, contact utility companies, vendors, and contractors for upcoming rate increases and data compilation.
- Facilitate annual operating expense reimbursement (NNN) estimates and reconciliations for all managed properties.
- Request revised invoices from vendors as directed to correct billing errors.
- Review and accurately code invoices in accordance with operating budgets.
- Run and review monthly financial reports.
- Proofread monthly management reports and financials, notify PMs of any discrepancies before compiling final reports
- Assist with rent collection and ensure timely payment of rent/fees
Facilities:
- Build and maintain vendor relationships
- Create work orders and/or obtain bids based on information from tenants, coworkers, technicians or gathered from site visits
- Dispatch and manage third-party vendors – janitorial, security, landscaping, roofing, towing, HVAC, pest control, elevator, lighting, etc. The ability to follow up on tasks is highly desired to be able to “close the loop” on projects large and small
- Obtain bids for maintenance or repairs such as snow and ice removal, landscaping, janitorial service, pest control, trash removal, roof maintenance/repairs, etc.
- Prepare maintenance and service contracts for PMs review.
- Track and schedule routine and seasonal maintenance schedules including fire systems testing, backflow testing, catch basin cleaning, roof clean and detail, and winterization.
- Complete and submit annual snow & ice forms to appropriate vendors.
- Escalate tenant or vendor issues to PMs as necessary.
- Respond to after-hours calls and/or communicate with PMs about calls received.
- Maintain critical information in property quick reference sheets.
- Obtain new vendor W-9s and insurance and track vendor insurance renewals.
- Secure properties by managing security patrol services, maintaining security devices, establishing and enforcing precautionary policies and procedures and responding to emergencies.
Office Administration:
- Schedule meetings, manage maintenance and property management accounting calendars
- Scan, name and save digital files in accordance with Company protocol
- Other duties include general office/front desk support
CORE COMPETENCIES & PERFORMANCE STANDARDS
- 3+ years of related experience in Commercial Property Management, with preference given to candidates with higher education
- Proficient in the Microsoft Office Suite with an emphasis on Excel and Word; experience with Appfolio and Yardi is highly desirable
- Possess strong attention to detail with the ability to prioritize and be flexible in transitioning between multiple job functions
- Demonstrated experience with customer service and bookkeeping
- Some basic knowledge of construction and building systems will be helpful but not critical because we operate and manage a variety of property types
- Ability to lift 50 pounds
- Valid driver’s license and reliable transportation
- Ability to be on-call
- General work hours will be from 8:00am to 5:00pm with a one-hour lunch break; employee will be expected to work from the office unless out for site visits.
- Candidate must agree to submit to either a credit or criminal background check, or both, prior to or during employment; personal credit and background must be in good standing.
Job Type: Full-time
Pay: $28.85 - $36.06 per hour
