Job Summary: The Surgical Coordinator is responsible for efficiently managing all administrative tasks related to scheduling patients and ensuring smooth coordination of surgical procedures in an ambulatory surgery center. This role involves meticulous attention to detail, effective communication with medical professionals and patients, and proactive problem-solving to ensure seamless operations.
Key Responsibilities:
- Schedule patient appointments for surgical procedures, using the organizations electronic health records systems and ensuring optimal utilization of resources and efficient workflow.
- Create transportation lists for upcoming procedures, coordinating with patients and transportation services to ensure timely arrivals.
- Request operative reports from doctor offices promptly and follow up to ensure timely receipt.
- Upload received operative reports to patients' files accurately and within designated timelines.
- Perform regular audits to ensure no reports are missing and address any discrepancies promptly.
- Coordinate with doctor offices to rectify errors in operative reports and ensure timely submission of corrected reports.
- Update procedure statuses in the Surgical Information System (SIS) for cancellations and pending cases.
- Collaborate with nursing staff to verify pending case statuses and address any discrepancies.
- Respond to Requests for Information (RFI) from the SIS team promptly and accurately, providing necessary documentation and information as required.
- Perform deposit reconciliation between the SIS team and MdManage billing team at the end of each month, ensuring accuracy and completeness.
- Respond to requests from the billing company promptly, providing required information and documentation as per established protocols.
- Respond to medical records requests efficiently, retrieving and providing required records in compliance with regulations and organizational policies.
- Notify the billing office promptly of any LIEN requests or exhausted benefits denials, facilitating appropriate billing procedures.
- Facilitate the preparation of rebuttals by ensuring doctors sign them and submit them to requesting attorneys in a timely manner.
- Billing liaison using the organizations electronic health records systems
Qualifications:
- Bachelor's degree in healthcare administration, business, or related field preferred.
- Previous experience in surgical scheduling or healthcare administration highly desirable.
- Proficiency in using electronic health records (EHR) systems and Microsoft Office Suite.
- Strong organizational skills with keen attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
Familiarity with medical billing processes and terminology preferred.
