Team Mechanical is currently seeking an experienced Receptionist/Administrative assistant for a part-time, in-office position. We are a local New Braunfels business performing HVAC and plumbing construction and service work in and around the immediate area.
The ideal candidate shall possess the following skills and abilities:
- High School Diploma, GED or Equivalent
- 1+ years administrative support experience
- 1+ years of receptionist experience
- Knowledge of administrative and clerical procedures
- General Computer Skills
- Microsoft Office Suite experience – primarily Outlook, Excel, Word
- Excellent attention to detail, time management skills, communication skills and organizational skills
- Excellent phone etiquette
- Ability to work independently and as a team
- Bilingual is a plus
- Notary Public is a plus
- Knowledge of Sage 300 is a plus
- Knowledge of Sage Paperless is a plus
- Experience in the HVAC service and HVAC/Plumbing construction industry is a plus
Responsibilities include, but are not limited to:
Receptionist/Administrative Assistant duties
- Receive and direct incoming calls, take accurate and reliable messages when needed, route calls as needed.
- Greet and assist visitors
- Keep common areas of office organized and clean
- Issue POs for both construction and service departments
- File, maintain, and distribute documents accurately
- Retrieve, open, sort, and distribute incoming mail and manage outbound mail
- Maintain the generic company contact email account - respond to application inquiries, forward requests for service calls, etc.
- Monitor office supply inventory and request orders as needed
- Update and maintain service technician on-call schedule and calendar, and review requests
- Other general office duties as needed
Accounts payable & accounts receivable support
- Assist with emailing service customer invoices/statements
- Scan and route documents as required to AP Processor or Service Coordinator
- Confirm and enter costs for Service Department POs
- Take service department customer credit card payments over the phone or issue payment links when requested
- Post and deposit customer checks received (all departments)
- Assist with collections efforts for all departments as needed
- Other AP/AR related duties as needed
Schedule:
- M-Th: 12pm to 5pm
- F: 12pm to 3:30pm
- Can be somewhat flexible with schedule as needed.
