SUMMARY OF DUTIES
Assists physicians/physician assistants/nurse practitioners by providing a variety of activities of patient care. Manages patient charts and assumes responsibility for resolving patient requests including test results, prescription refills, and general healthcare questions.
RESPONSIBILITIES
Applicants should be able to perform both Front and Back office task, duties include but are not limited to:
- Responsible for the opening and closing procedures of the office. Front office needs to make sure the front door is open by 8AM and the front door is locked at 5PM.
- Welcome and receive patients/visitors to the clinic by greeting them and attending to their inquiries
- Provide patient service by answering all incoming calls from patients who have various inquiries, resolve risen issues, schedule patient appointments
- Scheduling: Determines reason for visit requests. Decides what type of appointment category in which to enter the patient
- Remain at the front desk, never leaving unattended. (If necessary to leave, Always ask a co-MA to cover until returning)
- Monitors schedule and organizes patient flow for physician office visits or in-office procedures
- Chart preparation by determining whether the patient's chart contains all of the appropriate documentation such as: all lab values, tests and imaging results are available and then updates patient charts.
- Collects and inputs all patient history and vitals into EMR
- Scans all paperwork pertaining to XR’s, CT scans, MRI’s into EMR.
- Performs routine orthostatic blood pressures, temperatures, height, and weight for all patients prior to provider visit or as requested by medical provider
- Accompanies patients to exam rooms.
- Maintain and sanitize the surroundings of the patient.
- Provides physical assessments as delegated by the physicians.
- Preparing patients for examinations and/or procedures
- Makes sure patient and provider have signed all appropriate paperwork when applicable
- Manages patient charts to ensure clinical information is completed and filed appropriately
- Performs all routine labs for patients as requested by medical provider at time of patient visit
- Maintains lab results within the EMR application and verifies completion each day
- Assists physician with in-office procedures and specialty patients
- Integrate quality services in-back office when assisting with medical procedures and other issues. Provides physicians with assistance during special procedures and/or patient training.
- Clean and sterilize the medical instruments and equipment.
- Performs upkeep for exam and specialty procedure room with regards to sterilization and infection control, supplies, and equipment
- Provide back office medical assistance to the mid-level staff in assisting with pain pump refills.
- Abides by and promotes HIPAA compliance; maintains strictest confidentiality with regards to patient information
- Maintains clinic supply inventory and relays to Supervising Medical Assistant and Practice Manager to make purchase of medical and office supplies
- Prior Authorizations: Calls patient prescriptions to the pharmacies at physician’s direction. Obtains prior authorization for prescriptions from insurance companies and/or pharmaceutical companies
- Cross trains and performs other office functions including phone triage, check-in/check-out, scheduling, pre-certification, or medical records as directed by the Practice Manager.
- Maintains a clean, safe and unobstructed workplace.
- Any other duties and/or special projects as assigned.
- These duties are not exclusive and with consideration of the job requirements and employee skills, this job description can be added to or taken away from at the discretion of the employee’s immediate supervisor.
- Schedules patients for tests and/or appointments with specialists and completes appropriate referral forms upon request of the physicians.
- Provides patient education as requested by physician. Initiates ABN forms when needed.
Back office is responsible for opening and closing back office:
- Making sure everything is stocked.
- Clean table covers.
- Gloves
- Lights are on or off, whichever is applicable.
REQUIRED EDUCATION AND EXPERIENCE
- High school or equivalent (Required)
- Certified Medical Assistant Credentialed (Required)
- using AthenaHealth: 1 year (Preferred)
- Medical Office Procedures: 1 year (Preferred)
- Working as a Certified Medical Assistant: 1 year (Required)
- Microsoft Outlook: 1 year (Preferred)

Job Type: Full-time
Pay: $15.00 - $18.00 per hour
