Summary
The Project Assistant position for Keystruct Construction will provide timely, accurate information and support services to various departments within the organization. This position will be responsible for daily administrative tasks that support project needs.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
· Sets up master files and project manager binders for new jobs.
· Transfers and reviews estimates into company’s appropriate software.
· Revises cost codes and estimate changes in accounting software as necessary.
· Processes and reviews subcontracts, purchase order and change orders for grammar, layout and totals.
· Processes submittals, shop drawings and product data.
· Tracks owner contracts, subcontracts, purchase orders, change orders and submittal information to ensure Keystruct receives signed original documents.
· Tracks safety acknowledgements and project specific insurance certificates.
· Processes and checks project conference meeting minutes for grammar and layout, distributes to management, owners and subcontractors on project.
· Copies plans and specs as needed.
· Assembles project O&M manuals at completion of project.
· Reviews, submits and tracks Subcontractor Certified Payroll on prevailing wage contracts.
· Scans all drawings, contracts, subcontracts, purchase orders, change orders, etc.
· Updates bidding schedule, design schedule and jobs pending reports weekly.
· Processes and checks proposals from Estimator for grammar and layout.
· Sets up files, file quotes, and pre-qualification forms.
· Requests bid bonds, performance and payment bonds, filling out bid forms and associated paperwork for private and public projects.
· Assists the estimating department with project proposals and presentations.
· Assists the estimators in making phone calls, printing and copying drawings and specifications.
· Assists the estimators in sending out bid invitations to subcontractors and suppliers.
· Assists the estimators and project managers with tracking bids and prospecting with new and existing clients within the CRM program.
· Prepare agenda, reports and meeting minutes for Friday morning meetings.
· Prepares agenda, and meeting minutes for superintendent, safety and all company meetings.
· Provides telephone coverage as assigned.
· Performs all other duties as assigned/

Education and/or Experience
- Three-years related experience and/or training; or equivalent combination of education and experience.
· High School Diploma/ GED

- Ability to effectively present information to customers and other employees of the organization.
Reasoning Ability
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
- Ability to make quick decisions.
Computer Skills To perform this job successfully an individual should have knowledge of the following software such as
- Must demonstrate basic computer skills including Microsoft Excel and Word.
