Join our team today! The Aging and Long-Term Support Administration, Residential Care Services (RCS), is looking for an Administrative Assistant 3 to join their office in Lacey, WA. In this role, you'll provide administrative and secretarial support to the RCS staff who are responsible for protecting the rights and privacy of vulnerable populations. Some of what you'll doProvide administrative support to Residential Care Services (RCS) staffMonitor and respond daily to emails and phone inquiries, including explaining complex rules, policies, and operating procedures to headquarters and field staff, and the publicCoordinate the search for and the location of records; scan, organize, and electronically send recordsResolve issues around receipt, submission, and time frames to ensure federal and state requirements are metDevelop, run, and analyze reports to track performance measuresAssist in the division’s filing system and records management Search, organize, scan, and link records into RCS’s electronic databaseDevelop new and/or modify existing work methods, procedures, or strategies to solve new or unusual problemsCompose correspondence and proofread various documentsEnter data into electronic tracking systemsPrepare records for transfer to the State Records CenterWhat we're looking forKnowledge of office procedures and practices, records management, business management/practices, research methods, data collection and measuring work production, inventory control, communication, and correspondence practicesAbility to work independently, read, understand, and interpret policies and procedures, develop written reports, work effectively with others, communicate effectivelyProficiency in working with Microsoft Office applicationsExcellent computer skills including accurately typing at a net speed of 50 words per minuteAbility to multi-task and prioritize workload, meet time requirements for submission of data, and operate standard office equipment; such as printer, copier, fax machine, and multi-line phone systemWho should apply?Professionals who have a high school diploma or GED, with three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
