We are a family owned residential construction business. We are looking for a reliable Office Manager. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator will include assisting the sales, accounting, and production functions. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The office manager helps with the smooth running of our company’s office and contributes in driving sustainable growth.
Office Manager
- Enter and maintain contact with clients / potential clients in our CRM system
- Open and/or close office as needed
- Answering telephone calls and emails from customers and clients and directing them to relevant staff. Greet customers warmly and ascertain problem or reason for calling
- Knowledge of CRM programs, or motivation to learn. Verify and maintain customer records by updating account information
- Assistance with contacting vendors, suppliers, etc.
- Support sales staff as needed with proposals, project management tasks, file keeping, etc.
- Monitoring office supplies
- Bookkeeping Duties: All bookkeeping tasks, including data entry, A/R, A/P, PR, GL and general reporting. Enter receipts, invoices. Reconcile invoices to PO's. Balance statements, create checks, Over/Under Billings
Requirements:
- A minimum 2 years experience in an office administrator/manager/bookkeeping role, construction industry preferred
- Ability to interact with all levels of employees, clients and customers
- QuickBooks proficiency, preferably Online, a plus
- CRM experience a plus
- Organization and the ability to multitask to complete a wide variety of tasks
- Attention to detail to ensure tasks are completed thoroughly and correctly
- Proficient with Microsoft Office Suite and spreadsheets
- Strong written and verbal communication skills to produce reports, accept instructions and handle vendor contracts, among other tasks

Pay: $20.00 - $28.00 per hour
