Job Summary: The DRIF portfolio of events is designed to increase mission support, brand awareness, and fundraising revenue among key constituent segments. The NY Metro Regional Events Associate Director supports the production and fundraising of all events in the Northeast region, ensuring seamless execution and realization of projected fundraising goals. The successful individual in this position is extremely organized, conscientious, and detail-oriented, with excellent verbal, writing and interpersonal skills.
What You’ll Do:
Event Coordination

Oversee and implement assigned events, including identification of prospects, recruitment of event committee members and event volunteers and cultivation of donors.

Process and track registration and financial transactions that are commensurate with the rules and controls established by DRIF

Coordinate the selection of event venues and vendors based on budget. Plan and manage all on-site event logistics, including deliveries and set up, run of show, volunteer management, event registration, stage management, auction check-out and clean-up.

Coordinate event auction, fund-a-cure, prize drawing or other revenue-generating activity, including solicitation, communication, and recognition of in-kind donors

Prepare on-line, printed, or audiovisual event materials, including webpage and registration forms, save-the-dates, invitations, journals, media loops or event video presentations.

Support any event consultants with logistics, including coordination with vendors, gift tracking and reporting, registration, organizing silent auction, and preparation of event materials.
Event Fundraising

Work alongside event leadership and the development team to raise increased funds for the DRIF year after year. Establish and grow relationships with key event donors, creating opportunities for increased event support and sponsorships

Prospect event donors from various sources such as Raiser’s Edge, mailing lists and community groups
Key Relationship Management and Event Committee Management

Communicate and coordinate with members of volunteer event committees regarding meetings and agendas, various assignments, contacting sponsors and donors, and event logistics

Identify and steward event donors with mission related materials throughout the year
Marketing and Communications

Collaborate with the marketing and communications team to produce all event marketing and communication plans. Ensure event and organizational brand consistency across varying mediums and platforms
Data Management & Financial Reporting

Preparing reports, including but not limited to on-site, pledge and in-kind reports

Provide biweekly analysis of revenue including forecasting and performance projections for national events team

Data entry into the Raiser’s Edge database and event management system

Prepare weekly financial gift log

Prepare and sends invoices for open pledges to all committee members, attendees, and donors

Work with finance staff to uphold departmental regulations and procedures
What You’ll Need:

Bachelor's Degree required.

Minimum five (5) years of experience in special events, preferably in philanthropy or nonprofits.

Strong communication skills necessary. Must be comfortable using a variety of contact methods including phone calls.
- Demonstrated proficiency in all aspects of event planning including the ability to multi-task while working on several events at the same time.
- Excellent problem-solving skills and the ability to work well under pressure.
- Effective time management skills and ability to work as part of a team, both with professional staff members and volunteers.
- Must demonstrate a flexible, polite, professional, positive manner. Must have experience interacting with corporate executives.
- Ability to travel throughout the Northeast Region as needed (including NYC, NJ, CT and Long Island)
- Proficient in Microsoft software applications: Excel, Word, PowerPoint and Outlook
- Experience in Raiser's Edge Fundraising Software and other online event-based platforms.
