Job Overview:
We are seeking a detail-oriented Administrative Assistant to join our team. under the supervision of Human Resources/Safety Manager and the CFO, this position is responsible for assisting Accounting with Credit Applications, Unclaimed property, Collections, basic accounts receivable and accounts payable etc. In addition, they will assist Human Resources with maintaining employee records, benefits administration, filing and assembling training and new hire documents etc. They may also assist with safety programs, policies and procedures or other project as needed. The candidate should be someone who is detail oriented and has excellent organizational skills. Proficient in excel, spreadsheets and formulas.
Responsibilities:
- Perform clerical tasks such as filing, data entry, and organizing documents.
- Reconcile invoices to ensure accuracy (A/P Invoices as well as benefit invoices)
- Prepares birthday cards for the President
- Prepares new hire, review packets and termination packets
- Helps create SOP's for HR, Safety, Accounting, Marketing and Purchasing.
- Assists Accounting in various tasks such as Credit Applications, unclaimed property, Collections and Basic accounts receivable and accounts payable.
- Schedules interviews as requested
- Exercises discretion, confidentiality, honesty and integrity with all customers, co-workers and provides a professional appearance with a positive attitude and can communicate effectively.
- Adheres to safety policies
- Can assist with on-boarding of new hires.
- Willing to cross train with others to help cover for vacations.
- Assist the Leadership team with duties such as typing, data entry, filing etc.
- Support the team with general administrative duties as required.
Qualifications:
- Proven experience in an administrative role or similar capacity.
- Proficiency in computer literacy, including Microsoft Office Suite and Google Suite. (MAC experience a plus).
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Ability to multi-task and keep tasks on schedule required.
- Must enjoy working with numbers while maintaining accuracy and being detail oriented.
- Ability to remain confidential when handling HR and Financial documents in this role.

Pay: $16.50 - $18.00 per hour
Expected hours: 32 – 40 per week
