ADMINISTRATIVE ASSISTANT

ROLE OVERVIEW
SHIFT Capital is currently hiring an Administrative Assistant to support the management team at SHIFT Capital. The ideal candidate will be a self-sufficient, self-starter who is detail oriented and organized, has the ability to prioritize and multitask, and thrives in a fast-paced dynamic environment. The Administrative Assistant must have an energetic attitude and enjoy working in a team environment performing administrative and project-oriented tasks that ensure the smooth operation of the centers. This will also include onboarding new properties into our portfolio and conducting weekly/monthly/quarterly meetings about each property that we manage. This position demands strong customer skills, creative thinking and problem solving, leadership, and effective written and verbal communication.
RESPONSIBILITIES
Office
- Manage reception area by greeting guests and answering incoming telephone calls for the office, determining the purpose of callers, and forwards calls to appropriate personnel or department.
- Collect mail daily and sort as needed.
Operations/Leasing
- Supports the team on all administrative tasks, including but not limited to Yardi, creating work orders, scheduling contract work, drafting & routing contracts and tracking vendor insurance.
- Coordinates and maintains the property management contract database.
- Manages tenant move in and move out process in Yardi while communicating with the Operations and Leasing team about their respective role in the processes.
Accounting/Financial Support
- Submitting tenant delinquent accounts into legal.
- Accounts Receivable collection on delinquent accounts.
- Make bank deposits
Tenant Communication
- Maintain tenant and vendor contact list, as well as CRM database.
- Generates tenant notifications via memo in Yardi for maintenance, property events, operational reminders, and general property repairs. Performs other duties as assigned.
QUALIFICATIONS
- Administrative experience, real estate/property management.
- High school diploma required, college studies preferred.
- Proven ability to be adaptable, organized and successfully handle multiple tasks simultaneously.
- Moderate to High level of skill in Yardi and Microsoft Office programs including Outlook, Word and Excel.
- Excellent verbal and written communications and time management skills.
- Must possess a strong attention to detail and demonstrated ability to be self-sufficient and work independently.
- Strong customer service skills, with an ability to resolve disputes or complaints
- Proven ability to work collaboratively with others and thrive in a team-oriented, fast paced environment.
