Position Overview:
We are seeking a motivated and experienced Administrative Assistant to join our team.
The Administrative Assistant will play a critical role in providing support to leadership across various areas of our organization. We are looking for an individual who is detail-oriented, proactive, and thrives in a fast-paced environment. The ideal candidate will have a strong background in administrative support and a proven ability to handle a wide range of responsibilities with efficiency and professionalism.
Responsibilities:
· Answers and transfers phone calls, screening when necessary
· Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed
· Responds to and resolves administrative inquiries and questions
· Provide comprehensive administrative support to members of the leadership team
· Manage calendars, schedule meetings, arrange travel, and coordinate appointments
· Prepare and edit correspondence, reports, and presentations
· Assist with travel arrangements and expense reports
· Prepares agendas and schedules for meetings
· Records and distributes minutes or other records for meetings
· Maintains office supplies and coordinates maintenance of office equipment
· Coordinate special projects and events as needed
· Serve as a liaison between leadership and internal/external stakeholders
· Other duties as assigned to support the efficient operation of the office
Required Qualifications
Educations and Certifications:
· Associate degree required, bachelor’s degree in related field preferred
· Three to five years of experience in an administrative role
· Must maintain a current Texas State Driver's License
Experience:
· Requires effective verbal and written communication skills
· Requires understanding of clerical procedures and systems such as record keeping and filing
· Experience in implementing AI-driven solutions to enhance business processes and decision-making
· Requires excellent organizational skills and attention to detail
· Proficient in Microsoft Office Suite or similar software
· Must be able to drive/operate a motor vehicle in a safe/professional manner
Required Skills and Abilities:
- Effective verbal and written communication skills
- Proven experience as an administrative assistant or executive assistant
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time management skills
