Position Overview:
We are seeking a diligent and detail-oriented Administrative Assistant to join our team in Hollywood, FL. This full-time office position involves conducting comprehensive background checks for our clients, coordinating with third parties, and ensuring all necessary documentation is properly managed and submitted.
Key Responsibilities:
- Conduct Background Checks: Perform thorough background checks for company clients, ensuring accuracy and compliance with regulatory requirements.
- Client Instructions: Provide clear and comprehensive instructions for clients to follow during the background check process.
- Scheduling and Appointments: Coordinate schedules and create appointments to facilitate timely completion of background checks.
- Third-Party Coordination: Collaborate with third-party organizations involved in the background check process to ensure all necessary information and documentation are obtained.
- Client Communication: Answer phone calls and address client inquiries related to background checks, providing exceptional customer service.
- Documentation Management: Mail fingerprint cards and forms to the appropriate regulatory agencies, ensuring all required documentation is accurately completed and submitted.
- Mail Handling: Handle incoming and outgoing mail, ensuring timely and accurate distribution and dispatch of all correspondence and packages.
- Forms and Documents: Send providers forms and documents to sign via Proof, DocuSign, or mail, ensuring timely completion and return.
- Payment Processing: Write checks and money orders, manage online payments and credit card transactions, and check invoices for payment.
- Invoice Management: Check and process invoices for payment, ensuring accuracy and timely payments.
Qualifications:
- High school diploma or equivalent (required); associate or bachelor’s degree (preferred).
- Previous experience in background checks, administrative roles, or a related field (preferred).
- Strong attention to detail and excellent organizational skills.
- Ability to communicate effectively, both verbally and in writing.
- Proficiency in using office software, including Microsoft Office Suite.
- Ability to handle confidential information with discretion and integrity.
- Strong customer service skills and the ability to work well in a team environment.
