Summary of Position:
Thirty-Five Capital is a family office and private equity firm with the mission of helping start-up, early stage, and family businesses grow through the strategic infusion of capital and hands-on leadership. The firm’s focus is on sports and technology, with brands such as ProXR Pickleball, Paddletek Pickleball, Boundless Pickleball, Chicago Slice Pickleball, Homewood Bat, JAW Bats, and ProXR being part of the ever-growing portfolio.
We are seeking a C-Level Executive Assistant who will provide high-level administrative support to the CEO. The Executive Assistant will provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization. The Executive Assistant will provide executive support in a one-on-one working relationship and will serve as a liaison to the senior management team. The Executive Assistant must enjoy working within an entrepreneurial environment. The role will involve a mix of detail-oriented tasks and higher-level problem solving and planning, with the ability to streamline high-level executive functions, turning a potentially overwhelming volume of tasks and decisions into an organized, manageable workflow. In essence, the Executive Assistant, acts as a force-multiplier - enhancing the efficiency, focus, and strategic reach of the CEO.
The position is located in our Chicago, IL facility and will report to the CEO.
Essential Duties and Responsibilities:
As the firm continues to grow quickly, the ideal candidate will possess a tremendous amount of flexibility and resourcefulness regarding traditional duties and responsibilities. The work will continue to change; however, the following functions will form the foundation of the position.
· Serve as a gatekeeper and sense-maker, filtering through the daily deluge of requests and information, ensuring critical matters are addressed promptly, so the CEO can maintain a vital strategic mindset instead of getting bogged down in minutiae
· Manage sensitive matters with a high level of confidentiality and discretion
· Sustain a daily calendar of meetings and events, ensuring follow up items are captured and completed
· Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization
· On behalf of the CEO, screen incoming emails, prioritize emails for review, draft appropriate responses, and respond to requests by gathering and providing information and referring matters to the appropriate team members
· Assist in preparing and managing presentations, decks, and correspondence
· Be responsive to emails, texts, and phone calls, with contact outside normal business hours
· Represent the company and the CEO in a positive light through great follow-through skills and sound judgment
· Conserve the CEO’s time by reading, researching, collecting, and analyzing information as needed, in advance.
· Complete ad hoc projects as assigned
· Other duties as assigned
Qualifications:
· The ideal candidate will be either a highly skilled strategic Executive Assistant or an entrepreneurial-minded professional seeking hands-on learning experiences to serve as a foundation for a future executive role
· Bachelor’s degree required
· Five years of related experience required in working in an executive assistant role supporting C-Level executives
· Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
· Excellent problem-solving skills and leadership qualities
· Ability to work collaboratively with team members at all levels
· Ability to communicate effectively and professionally
· Excellent time management skills; proven ability to meet deadlines
· Ability to function well in a high-paced environment
· Flexible hours as dictated by the needs of business for projects and meetings
· Good project management skills
· Ability to use discretion and good judgment and maintain confidentiality
