Job Description -
Position Summary: The Administrative Assistant / Bookkeeper will be responsible for managing the day-to-day administrative tasks and financial records of our company. The ideal candidate will have strong organizational skills, a keen eye for detail, and proficiency in bookkeeping and office management.
Key Responsibilities:
- Handle general administrative duties, including answering phones, responding to emails, and managing correspondence.
- Maintain accurate and up-to-date financial records, including accounts payable and receivable, invoicing, and payroll processing.
- Reconcile bank statements and manage company credit card transactions.
- Prepare and process client invoices and follow up on outstanding payments.
- Manage inventory and order office supplies and pool maintenance products as needed.
- Schedule and coordinate appointments for pool maintenance and repair services.
- Assist in preparing financial reports and statements for management review.
- Maintain organized filing systems for both physical and digital documents.
- Provide excellent customer service by addressing client inquiries and concerns promptly.
- Support the team with other administrative tasks and special projects as required.
Qualifications:
- High school diploma or equivalent; associate degree in accounting, business administration, or related field preferred.
- Proven experience as an administrative assistant, bookkeeper, or in a similar role.
- Proficiency in bookkeeping software (e.g., QuickBooks) and Microsoft Office Suite (Word, Excel, Outlook).
- Strong understanding of basic accounting principles and financial record-keeping.
- Excellent organizational and multitasking skills.
- Strong attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Experience in the pool service industry is a plus but not required.
