Job Summary*
As the Office Manager & Administrative Assistant, you play a crucial role in ensuring the smooth operation of our office. This dual role encompasses a variety of responsibilities, including office management, administrative support, and human resources tasks.
Key Responsibilities:
- Maintain the Innovation Center to ensure it is always clean, organized, and "show ready."
- Support office events and company meetings (I.e., virtual meeting set up, content compilation, etc.)
- Address any issues or messes promptly, coordinating assistance as needed.
- Oversee administrative services, including managing team communications, handling reports, mail, and appointments.
- Ensure office and cleaning supplies are well-stocked, ordering as necessary.
- Manage food and beverage inventory in common areas, restocking at least three times daily, with increased frequency from June to December.
- Coordinate and manage weekly breakfast and lunch catering orders for meetings.
- Track inventory levels using an ordering spreadsheet to ensure supplies meet demand.
- Keep conference rooms meeting-ready, ensuring chairs are arranged, and whiteboards are clean.
- Communicate with the cleaning crew to maintain service standards and inventory levels.
- Maintain an organized workspace and handle reception duties, including answering calls and greeting guests.
- Regularly check in with department heads to address any cleanliness or organizational needs.
- Provide HR administrative support, including onboarding, offboarding, recruiting, and supporting people programs and new initiatives.
- Maintain confidentiality of information and nurture relationships with employees and customers.
- Perform additional duties and projects as needed to support the office and People and Culture department.

Requirements:*
- This is an in-person role, Monday-Friday, 8am to 5pm, with no eligibility for hybrid work.
- Professional appearance and presence in the workplace at all times.
- Self-motivated, organized, detail-oriented, and able to anticipate needs.
- Proficient with technology and various software tools.
- Strong communication skills with supervisors, employees, and customers.
- Efficient time management and ability to meet deadlines.

- Able to lift, carry, bend, pull, and reach as needed for office tasks, restocking, and maintenance.

- Able to complete assignments during extended periods of viewing computer screens
