Job Summary: LIVERMORE Office Administrative/Data Entry
The Receptionist/Data Entry Clerk/Administrative Assistant is the first point of contact to Emerald Textiles’ customers, employees, vendors & visitors. This individual is responsible of venting visitors, processing extensive data entry, answering phone calls, voicemails, and emails from external and internal customers along with providing administrative support across the organization. The Receptionist/Data Entry Clerk/Administrative Assistant is organized, detailed oriented, who communicates well and practices excellent time management skills.
Essential Job Duties and Responsibilities:
- Consistently delivers on Emerald Textiles’ customer experience strategy by accepting ownership for customer cases and delivering an experience in alignment with the established service vision, standards and values for all customers and colleagues.
- Consistently delivers exceptional customer experience while handling phone calls, emails and messages. This includes clarifying customer issues, researching, locating and providing resolution by working with plant personnel and/or properly escalating cases.
- Conducts and maintains business financial reports with extensive data entry and accuracy.
- Maintains customer database by entering and/or updating customer and case information.
- Embraces continuous learning and keeps updated as products, processes and policies evolve.
- Keeps department specific equipment in working order by following established procedures and reporting malfunctions.
- Ensures reception area is tidy and presentable, with all necessary stationary & materials.
- Provide general administrative support to the management team.
- Receiving & sorting daily mail along with preparing outgoing mail as needed.
- Performs clerical duties such as filing, photocopying, transcribing, ect.
- Performs other assigned duties as assigned.
Required Qualifications:
- Extensive data entry with detailed accuracy
- Previous customer service experience
- Ability to Multi-task
- Stress management skills while streamlining office operations
- Strong technology and verbal communication skills
- Bi-lingual Spanish & English
- Proficiency in Microsoft: Word, Excel, PowerPoint (Microsoft Office Suite)
- Solid written and verbal communication skills
- High School Diploma/Certification
Preferred Qualifications:
- Data Entry Experience
- Linen/Textile Plant Experience
- Previous Receptionist/call center experience
Physical Requirements:
The position requires considerable sitting, typing and the ability to move objects of less than 25 pounds.
Work Environment:
The working environment is indoors and is seasonally heated and cooled with minimal noise levels. The position requires the ability to communicate in person, telephonically and via email.
