The role of the HVAC/Mechanical Scheduling Coordinator (Commercial & Residential) is to coordinate field activities of HVAC/R Technicians and other field staff, and to assist with coordination of office/administrative duties of the HVAC Department. This includes answering incoming calls/emails, scheduling work requests using ServiceTitan, reviewing jobs, notes, invoicing, processing warranty returns, applying for permits, and ordering parts, along with other important duties.
Responsibilities Include (but are not limited to):
· Answer incoming calls, monitor ticketing system and email for incoming work requests
- Schedule and create work orders in ServiceTitan for HVAC installations, repairs, and maintenance
- Coordinate and oversee daily technician schedules for all work orders/jobs
- Dispatch technicians for all work orders, including any emergency calls
- Work with the Management Team to ensure appropriate technicians are assigned to work orders and any other field-related matters
- Distribute purchase orders as needed
- Review field generated paperwork, notes, materials purchases, and labor costs for accuracy to prepare for invoicing to client
- Work with Warehouse Manager to order & track parts for work to be completed
- Complete required paperwork accurately and within required timeframes
- Serve as backup to other scheduling coordinators within the company, as needed
- Meet company productivity, quality, and customer satisfaction standards

Qualifications:
- Extremely organized and able to work well under pressure
- Ability to multi-task and handle increased in call volume on occasion
- Outstanding customer service and communication skills
- Strong computer skills, including intermediate MS Office Suite skills
- Commitment to performing high quality work
- Ability to read, write, and speak English proficiently; Spanish is a plus, but not required
- Ability to understand and follow instructions
- Must be self-sufficient and able to work with very little supervision
Additional Skills Desired:
- Minimum 1 year related experience and/or training in customer service, dispatching, or project management or equivalent combination of education and experience required
- Knowledge and experience specific to HVAC/R (Commercial or Residential A/C Service) is preferred, but not required. Experience in plumbing or electrical scheduling is a plus.
- Ability and willingness to work some overtime and occasional weekends, if necessary
- Successful completion of pre-employment drug testing and criminal background check
· Ability to professionally communicate with clients (both residential and commercial), property managers and owners
· Ability to exercise individual initiative and discretion and good judgment in matters concerning owners, tenants and vendors
