JOB TITLE: Senior Sales Administration Associate, Nova Eye, Inc. (Permanent, Full Time)

REPORTS TO: Sales Operations Manager – Adelaide (South Australia, Australia)
DIRECT REPORT: Customer Support and Sales Administration Associate (Fremont, California)
ROLE PURPOSE:
Reporting to the Sales Operations and Planning Manager, this role has direct responsibility for all inbound sales processes, trunk stock management and VAC applications/ongoing management.
KEY REQUIREMENT – GOOD ENERGY:
We are looking for someone with attention to detail and the ability to work independently, but mostly we are looking for someone with good energy, who is highly motivated to contribute as part of a team and to learn new skills.
RESPONSIBILITIES:
Sales Order Processing
- Oversee the daily fulfillment of customer orders via the Company’s ERP system (QAD), covering both domestic (USA) and international sales.
- Oversee the daily sales invoicing in QAD and delivery of sales invoices to all customers.
- Maintain the accuracy of customer pricing on order processing.
- Oversee and review the setting up of new customer accounts.
- Oversee the maintenance of sales tax exemption certificates for US customers.
- Oversee D&B credit checks of new customers and set payment terms.
- Oversee the maintenance of customer registers.
- Manage clearing and maintenance of QAD sales order register.
- Provide QAD support to other team members, as required.
Customer Management
- Assume backup responsibility for Customer Support & Sales Administration Associate, as required.
VAC Process
- Manage Valued Analysis Committee (VAC) applications and sales-related registration/approval applications, ensuring a prompt response time, accurate data entry, and seamless communication between the US field sales team and internal stakeholders.
- Determine the scope and timeline of each VAC application and coordinate the input of internal stakeholders, collaborating and seeking input for answers across stakeholders.
- Compile and distribute approved documentation to third-party vendors in relation to VAC applications and manage the various VAC and similar portals.
- Manage, develop and maintain VAC library content.
- Manage VAC specific pricing, communication with accounts and assist with collections.
- Assist USA field team with administration of pricing quotes and customer contracts.
Trunk Stock Management
- Oversee processing of trunk stock sales.
- Manage the reconciliation of trunk stock for the US field sales team, including transacting transfers in QAD.
- Assist with inventory discrepancies, reporting and management as required.
- Host training sessions for the USA field team to ensure compliance with the SOP requirements for trunk stock management.
Other Responsibilities
- General administration as required.
- Improvements to processes including modernization of current practices.
- Comply with company policies and procedures.
- Perform other duties as required.
QUALIFICATIONS / EXPERIENCE:
- Business School, Associates degree or equivalent is advantageous.
- Accounts receivable experience.
- Experience with US based field sales team.
- Experience with QAD (or equivalent ERP) advantageous.
- Experience in medical device / medical field advantageous.
- Possess excellent oral, written and interpersonal skills.
- Strong computer skills including Microsoft Office suite of programs.

- Communicate effectively (written and verbal) to collaborate with senior sales leadership and cross-functional departments, including Sales, Marketing, Operations, Accounts Receivable, Quality and Customer Service.
COMPENSATION:
Salary guidance: $90,000 - $100,000 per year depending on experience, training, education and specific skills.
COMPANY BACKGROUND:
Nova Eye Medical Limited (Nova Eye) owns three businesses in ophthalmology; 1) the Nova Eye Inc “iTrack” business based in Fremont, California that designs, manufactures and sells surgical products for treating glaucoma 2) the Nova Eye Medical “2RT” business based in Adelaide, Australia that has pre-commercial, highly prospective technology for treatment of people with early to intermediate age related macular degeneration and 3) the Molteno glaucoma drainage device based in Dunedin, New Zealand. The markets for Nova Eyes products are large, global and have high potential for growth.
