An Intake Coordinator/administrative assistant in a mental health setting plays a crucial role in managing the initial phase of client engagement. REQUIRED to have a background working in a mental health practice or any medical office. This is an IN PERSON position, requiring regular attendance to our Northfield office with occasional visits to our Evanston office. The potential for the position to become HYBRID can be discussed after training is completed successfully.

These are the tasks and qualifications associated with the role of an Intake Coordinator at Unify Counseling Inc.
Common Tasks
Client Intake:
- Collecting and documenting client demographic information.
- Gathering details about the client's mental health history.
- Assessing the urgency of the client's situation.
Appointment Scheduling:
- Navigating through providers' calendars, selecting the correct location, and matching the clients to an appropriate therapist.
- Managing and coordinating client appointments and calendars to ensure smooth scheduling processes
- Adding the clients to our EMR system (TherapyNotes), adding the correct billing information, sending the clients the appropriate intake forms, and updating our spreadsheets accordingly. (Attention to detail is a MUST)
Billing Support and Verification of Insurance:
- Verifying insurance coverage and obtaining necessary authorizations.
- Discussing fees and payment options with clients.
- Addressing client billing inquiries and working with the billing manager when needed.
- Credentialing new therapists when needed.
Communication:
- Communicating with clients, families, and referring professionals to gather relevant information
- Explaining the intake process and answering inquiries about services.
- Responding to client inquiries via phone, email, or in person, providing helpful and empathetic assistance.
- Collaborating with therapists, operations manager, billing manager, and owners to facilitate seamless communication and workflow.
- Assisting in organizing and participating in weekly team meetings.
Documentation and Record Keeping:
- Maintaining accurate and confidential client records.
Creative Strategist:
- Be able to use Canva and Mailchimp to send holiday letters to clients and staff
Qualifications
Education and Certification:
- A bachelor's or master's degree in business administration, psychology, social work, counseling, or a related field.
Clinical Knowledge:
- Understanding of mental health disorders, treatments, and therapeutic approaches.
- Familiarity with the mental health system and community resources.
Communication Skills:
- Strong interpersonal and communication skills to interact effectively with clients and staff.
- Active listening skills to understand clients' needs and concerns.
Organizational Skills:
- Ability to manage multiple tasks, calendar appointments, and paperwork efficiently.
- Attention to detail for accurate record-keeping.
Empathy and Sensitivity:
- Compassion and empathy to deal with individuals experiencing mental health challenges.
- Cultural competence to work with a diverse range of clients.
Crisis Management Skills:
- Ability to identify and respond appropriately to crisis situations.
- Knowledge of crisis intervention techniques.
Technology Proficiency:
- Familiarity with electronic health record (EHR) systems and other relevant software.
- Basic computer skills for data entry and documentation.
Ethical Conduct:
- Adherence to ethical standards and confidentiality guidelines in mental health practice.
- Awareness of legal and ethical considerations in client care.
