Hours and Locations
Full-Time – Monday-Friday 9:00am-5:00pm with flexibility to cover extended shifts 7:00am-7:00pm as needed
Between 2 locations: Midtown and Park Slope
Midtown Manhattan – Near Grand Central Terminal
Park Slope, Brooklyn– Near Atlantic Ave Barclays center Trains
Training will take place immediately between Midtown and Park Slope locations as needed.
Position Summary
The Receptionist will strive to deliver five-star concierge-level customer service to every patient from their initial evaluation through each subsequent contact until discharge. This includes fielding and responding to patient questions and requests and providing prompt, thorough follow-up.
Accountabilities
The receptionist is the face of the practice and must make an excellent first impression. The receptionist must have an upbeat attitude, a commitment to delivering excellent patient experience, and the highest standards of professionalism and courtesy are required.
This position reports to the Office Manager who is not onsite and therefore requires resourcefulness and superior problem-solving capabilities, as well as the ability to work independently without direct day-to-day supervision.
Success will be measured based upon the following:
- Displaying top notch professional etiquette in all interactions with both patients and H&D staff.
- Articulation and effective communication skills both written and verbal, including use of correct grammar, spelling, and punctuation.
- Attention to details and consistent follow-up to ensure accuracy and process completion.
- Crisis management skills; the ability to triage unexpected events to help mitigate any adverse effects on the practice or patient.
- Discretion when handling confidential information.
- Willingness to go the extra mile to ensure a positive patient experience.
Key Duties
Day-to-Day Operations:
- Check in patients for their appointments and collect copays due.
- Assist new patients in completion of intake paperwork.
- Respond to all phone and email queries.
- Monitor and follow-up on needed referrals.
- Fill last-minute cancellations from the clinic’s waitlist.
- Close-out and reconciliation of daily receipts.
- Run copay reports daily to ensure optimal collection rates.
- Daily quality assurance checks.
Legal Compliance: Follow all federal and state laws and guidelines (e.g., Medicare, HIPAA (Health Insurance Portability and Accountability)).
Technical Skills
- Basic office technology skills including Microsoft Office Suite (Outlook, Word, Excel), PDF, Scanners, copy machines and fax machines
- Electronic Medical Records (EMR) systems and online scheduling
- Familiarity with medical terminology and HIPAA compliance regulations
Education/Prior Experience:
High School Diploma (associate degree or higher preferred)
Minimum of 1-year front desk experience in a healthcare setting (required)
Familiarity with healthcare insurance billing policies and procedures (desirable)
