Position Overview: Plan, manage and execute agency fundraising, cultivation, and third-party events with the support of other key development staff. Act as agency representative and build relationships with event sponsors and attendees, Larkin Street board members, event committee members, Larkin Street and event staff, and vendors for all event activities. As a member of the agency’s Leadership team, ensure event work and resources alignment with organizational strategic priorities.
Location and Schedule: This full-time position will require working onsite a minimum of three days/week depending on job duties and agency requirements. May also include local travel to and from various partner organizations, businesses, and donors. Depending on the events schedule, it may occasionally require working evenings or weekends.

PRIMARY DUTIES AND RESPONSIBILITIES
Special Event and Annual Planning

In coordination with the Chief Development Officer and Marketing Communications team, develop the agency’s annual event funding goals, calendar, and work plans.
- Manage, execute, and report on all aspects of event logistics.

Strategize and conceive of new events in support of the agency’s objectives.
Manage and Execute Agency Fundraising Events
-
Manage and execute on Larkin Street annual fundraising events (in-person, virtual, and hybrid), including but not limited to Paving the Way Gala, Bay Area CFO of the Year Awards, and Corporate Leadership Roundtable.

Responsible for setting and tracking event budgets, as well as regular progress reports.

Identify, secure, and manage special event vendors, including production support, hotel and catering staff, graphic designers, etc.

Manage the major fundraising Event Committees. Serve as the primary administrative committee member, including responsibility for scheduling meetings, developing meeting agendas, and ensuring note taking and distribution.

Manage special event fundraising, including sponsorship and auction solicitations, invitation mailings and online ticketing.

Collaborate with the Marketing Communications team to develop event advertising, program guides, and other collateral, as well as benefit fulfillment.

Oversee the selection and coaching of event speakers and presenters. Ensure scripts and details are delivered to them in a timely fashion.

Supervise event registration management and table seating.

Onsite stage managing of all agency fundraising events.

Ongoing stewardship of event sponsors and donors
Assist with Production of Other Agency Events

Coordinate some or all aspects of donor cultivation and board of director events, including two annual board dinners, semi-annual major donor receptions, etc.
- Collaborate and advise the Program team on the production of a limited number of youth-facing holiday events.
Coordinate with Third-Party Events

Coordinate all aspects of third-party events, for example, SF Giants, Mission Bowling, where Larkin Street is a designated beneficiary. Act as Larkin Street liaison and provide support for event logistics, promotions, volunteers, auction items, etc.
- Coordinate contributions from the board and staff as necessary or required.
Provide Supervision to Staff and Volunteers

Provide supervision to Development Associate, office interns, and event volunteers.

Manage event volunteers and staff, provide clear details about tasks before the event, coordinate volunteers, and thank volunteers.

QUALIFICATIONS

Bachelor’s degree or equivalent experience in place of the education.

A minimum of four (4) years of prior event management experience is mandatory.
- Exceptional planning, time, and project management skills.
- Prior experience managing staff and volunteers.
- Documented superior writing skills.

Highly skilled in Microsoft Office Suite, and ideally experience working with agency donor/ticket platform (Classy) and donor database (Salesforce).

Able to lift 30 pounds.

Valid California Driver’s License.
