Essential Duties and Responsibilities:
- Provide comprehensive executive support to designated senior leadership, encompassing calendar management, travel arrangements, expense reporting, composing client communications, departmental invoicing, and coordinating onsite/offsite meetings.
- Maintain executives' calendars, serving as a liaison for internal and external contacts when scheduling meetings and events. Collaborate closely with executives to ensure they are well-informed of upcoming commitments and obligations, with appropriate follow-up.
- Arrange and schedule internal and external meetings and departmental events, including the creation of meeting agendas and post-meeting summaries where applicable.
- Develop or refine presentations, proposals, and marketing materials as required.
- Provide logistical support to Executives during events to ensure seamless execution.
- Cultivate and nurture strong working relationships with internal teams, offering administrative support to other departments as necessary.
- Oversee the creation of purchase orders, invoice submission, and tracking of marketing vendor expenditures within the US.
- Manage office supply ordering and inventory to ensure the availability of essential materials and equipment for events and demonstrations.
Qualifications:
- Minimum of 2 years’ general office experience, ideally with administrative assistance or project coordination.
- Bachelor’s degree preferred but not required.
- Valid Life and Health Insurance License in IL or the willingness to obtain one upon hiring.
- Proficient in prioritizing tasks, managing multiple projects concurrently, and meeting deadlines.
- Diligent in ensuring accuracy and quality in all tasks and events.
- Efficiently manage schedules, appointments, and event coordination.
- Clear and concise communication with executives, colleagues, vendors, and event participants, both orally and in writing.
- Ability to establish and maintain positive relationships with stakeholders at all levels.
- Quick and effective in identifying and resolving issues during daily tasks and event planning.
- Able to adjust to changing priorities, work effectively under pressure, and tackle diverse tasks and roles as required.
