Job Summary:
The Daycare Bookkeeper/Office Manager is a vital role that combines the responsibilities of financial management and administrative support within a daycare setting. This position ensures that the daycare's financial records are accurately maintained and that administrative operations run smoothly. The ideal candidate will be detail-oriented, organized, and possess a solid understanding of bookkeeping principles and office management practices.
Key Responsibilities:
Financial Management:
- Bookkeeping: Maintain accurate financial records including accounts payable and receivable, payroll processing, and general ledger entries.
- Budgeting and Financial Planning: Assist in the preparation and monitoring of budgets, financial forecasts, expense tracking and tracking of government grants/subsidies.
- Invoicing and Payments: Generate and distribute invoices to parents for childcare services, track payments, and follow up on outstanding balances.
- Bank Reconciliation: Perform regular bank reconciliations and ensure discrepancies are identified and resolved promptly.
- Financial Reporting: Prepare monthly, quarterly, and annual financial reports, including income statements and balance sheets.
- Tax Preparation: Assist in the preparation of financial documents for tax reporting and liaise with external accountants as needed.
Administrative Duties:
- Office Management: Oversee the day-to-day operations of the office, helping to ensure the daycare operates smoothly and efficiently, and ensuring a clean and organized environment.
- Record Keeping: Maintain accurate records of children’s files, attendance, immunizations, and emergency contact information in compliance with regulatory requirements.
- Supervision: As a member of the leadership team, your supervisory responsibilities will include greeting parents and visitors at the door, providing staff with break coverage, and stepping into classrooms to maintain proper staff-to-child ratios or to assist with various needs.
- Communication: Serve as a point of contact under the director for staff, and external vendors, addressing inquiries and providing information in a professional manner.
- Enrollment and Registration: Assist in the enrollment process, including registration fees, and updating child records.
- Staff Support: Assist with maintaining staff records, and supporting the Director with HR-related tasks such as timekeeping and payroll processing.
- Program Coordination Support: Help the lead staff team organize and coordinate daycare daily operations, events and meetings.
- Compliance and Licensing: Ensure compliance with local, state, and federal regulations pertaining to childcare services and maintain accurate records for licensing purposes.
- Clearance: Will need to keep up with OCFS trainings as well as background checks/fingerprinting as required.
Technology and Software:
- Software Management: Use daycare management software (Brightwheel), Excel and Quickbooks to track financial transactions, manage enrollments, and generate reports.
Qualifications:
Education and Experience:
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field preferred.
- Experience: Minimum of 2 years of experience in bookkeeping and office management, preferably within a childcare or educational setting.
- Minimum 1 year experience working with children preferred.
Skills and Abilities:
- Financial Acumen: Strong understanding of accounting principles, financial reporting, and budget management.
- Organizational Skills: Exceptional organizational and multitasking abilities with attention to detail.
- Communication: Excellent verbal and written communication skills.
- Technical Proficiency: Proficient in Microsoft Excel and accounting software such as QuickBooks.
- Problem-Solving: Strong analytical and problem-solving skills.
- Customer Service: Friendly, professional demeanor with a focus on providing exceptional customer service. Good demeanor with children.
- Confidentiality: Ability to handle sensitive information with confidentiality and discretion.
Working Conditions:
- Environment: Work is performed in an office setting within a daycare facility.
- Schedule: Work hours are Monday through Friday, with a flexible schedule. Daycare operating hours are M-F 6:15am-6pm.
