Position Overview:
This Administrative Assistant position under the Permit & Licensing Dept. will support the Permits & Licensing Manager with various administrative duties, including typing letters, preparing reports, ensuring the accuracy of all documents, and maintaining files. It will also ensure that the company pays its invoices under Permits & Licensing timely and within a given timeframe.
Key Responsibilities
- Handling office tasks, such as generating reports and presentations.
- Organize and maintain files and databases confidentially.
- General clerical duties including photocopying, fax, scanning, data entry, and mailing
- Generating letters and documents
- Interacting with governmental regulatory authorities in a professional manner
- Complete payments and controls charges by receiving, processing, verifying, and reconciling invoices.
- Charge or credit expenses to correct accounts by analyzing invoices/reports.
- Ensure invoices are paid in a timely and accurate manner while adhering to departmental procedures
- Ensure detailed and organized recordkeeping
- Provide administrative support to other team members to ensure efficient operation of the office.
- Other non-essential job duties as assigned
- Support Permits and Licensing Manager/Supervisors with new projects and follow up on departmental activities.
- Follow up with company policies & procedures.
- Build and maintain good customer relationships within company teams and franchisees.
- Cultivate a collaborative work environment with other departments and disciplines.
- All other tasks and duties as assigned.

Qualifications & Skills
- High school diploma or equivalent. BA/BS degree in Business Administration or related field preferred
- Minimum of 3 to 5 years administrative role experience
- Proficiency in MS Office, including PowerPoint, Word, and Excel
- Experience working in a franchised system or knowledge in retail food service is a plus
- Excellent written and verbal communication skills
- Strong attention to detail and organizational skills
- Strong analytical and problem-solving skills
- Strong Presentation Skills
- Ability to work independently and with others
Physical Demands
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 25 pounds at times.
Work Schedule: M-F (8am-5:00pm)
