Responsibilities/Expectations:
1. Operational Management:
- Oversee the day-to-day operations of the multiple practices at multiple locations, ensuring smooth and efficient functioning.
- Continued Use and Implementation of the (EOS) Entrepreneurial Operating System
- Develop and implement office policies and procedures to enhance productivity and streamline processes.
- Monitor inventory levels of supplies and equipment, and coordinate orders as needed.

2. Staff Management:
- Recruit, train, and supervise office staff, including receptionists, administrative assistants, support personnel and virtual staff.
- Schedule and assign tasks to staff members, ensuring adequate coverage and efficient workflow.
- Track accountability (staff reports to you. You report to me). This includes maintaining awareness of all current staff projects including front office, virtual staff, billing, marketing and providers.
- Provide ongoing guidance and support to staff, conducting performance evaluations, and addressing any performance issues.
- Foster a positive and collaborative work environment, promoting teamwork and professional development.
3. Financial Management:
- Monitor financial performance and identify opportunities for cost optimization and revenue growth.
- Manage financial activities, including budgeting, billing, and invoicing.
- Monitor and analyze financial reports, identifying opportunities for cost-saving measures and revenue growth.
- Maintain accurate records of financial transactions and reconcile accounts as necessary.
4. Patient and Customer Service:
- Monitor patient flow and appointment scheduling to optimize patient experience and minimize wait times.
- Optimize provider utilization
- Uphold the highest standards of customer service, actively seeking out ways to better serve our clients.
- Address client concerns and inquiries, striving to exceed expectations and build long-term relationships.
- Implement initiatives to enhance the overall customer experience and drive client satisfaction and loyalty.
- Handle escalated patient issues or complaints, resolving them in a professional and empathetic manner.
- Implement and maintain patient satisfaction initiatives, seeking feedback and implementing improvements based on patient feedback.
5. Compliance and Regulatory:
- Maintain confidentiality and security of patient information and medical records.
- Conduct periodic audits to ensure adherence to compliance standards and address any identified gaps.
- Ensure compliance with all relevant regulations, including HIPAA, OSHA, and other healthcare industry standards including staff regulations.
- Keep up-to-date with changes in regulations and implement necessary changes to maintain compliance
6. Facilities and Equipment Management:
- Oversee the cleanliness and maintenance of the facilities, ensuring a safe and welcoming environment for patients and staff.
- Oversee tenants in the primary office location.
- Coordinate maintenance and repairs of equipment, ensuring they are in good working condition.
- Manage relationships with vendors and service providers, ensuring timely and high-quality service delivery.
7. Administrative Support:
- Ensure coordination of meetings and events, including scheduling, preparing agendas, and taking minutes.
- Maintain records and files, ensuring easy access and confidentiality of information.
- Manage communication channels, including phone systems and email accounts.
- Oversee and manage owner’s other business interests and logistical needs.
