Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Office Manager. In this exciting role, and working directly with the CEO of the company, you will provide exceptional administrative support while also managing the company's financial records using QuickBooks.
You will be responsible for a variety of tasks, including scheduling appointments, managing calendars, bookkeeping, and generating financial reports.
This position requires a strong work ethic, excellent communication skills, and the ability to manage multiple tasks simultaneously.
Responsibilities:
1. Accounting
- Manage the company's financial records using QuickBooks software.
- Process accounts payable and receivable, including entering invoices, bills, and payments.
- Reconcile bank statements and credit card statements.
- Generate accurate and timely financial reports, such as profit and loss statements, balance sheets, and cash flow statements.
- Assist with year-end closing procedures and preparation for audits.
- Maintain accurate and up-to-date general ledger accounts.
- Prepare regular management reports
2. Office Management
- Working directly with the company owner, manage the company calendars - scheduling appointments, meetings, and travel arrangements.
- Handle incoming calls, emails, and inquiries, directing them appropriately and ensuring timely responses.
- Compose professional correspondence, presentations, and financial reports.
- Maintain a clean and organized work environment.
- Perform other administrative duties as needed.
Qualifications:
- Strong understanding of accounting terminology (debits, credits, accounts payable, accounts receivable, etc.).
- Excellent organizational, time management, and multitasking skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional communication, interpersonal, and customer service skills.
- Meticulous attention to detail and accuracy.
