Electrical Contractor Administrative Assistant
Position Overview:
We are seeking an organized and motivated administrative assistant to provide support to our team. As a key member of our team, you will be responsible for three main silos: office management, accounts payable, and some elements of HR. We are looking for someone who is willing and able to learn – we are open to training the right fit on any of these skills you may lack initially.
St. Andrews Electric, a union contractor, resides in Thornton, Colorado and performs work in the commercial, industrial, government, education, and public transportation sectors within the Denver Metro area. Responsibilities:
Office Manager Element:
· Maintaining supply inventory and ordering office supplies as needed
· Arranging services for office as needed (copier maintenance, Terminix, cleaning etc)
· Assisting Project Managers or executives in tasks as needed
· Maintaining office filing system
· Meeting minutes during staff meetings
· License plate renewals for all fleet vehicles, initial registration of new vehicles
· Answering phones and greeting clients
· Assist management team as needed with insurance renewals and claims
Accounts Payable Element (Sage 300 experience preferred but not required)
· Process all invoices which includes distributing to the appropriate project manager who specifies job cost information and entering into Sage 300
· Handle all inquiries from vendors or other contractors in regard to AP processing
· Perform check runs which consists of printing checks and attaching invoices for approval
· Manage EFT payments
· Assist VP in acquiring credit card receipts on a monthly basis and assessing tax liability
HR and Payroll Element
· Weekly sending of payroll data to payroll processor
· Process employee reimbursements
· Manage employee garnishments
· Process new hire paperwork
· Fill out verification of employment requests
· Tracking of employee sick time and vacation time
Qualifications:
- 1-3 years of experience in an administrative role
- 1-3 years of accounts payable experience preferred
- Some construction knowledge preferred
- Knowledge and ability to operate Microsoft Office (Excel, Word and Outlook).
- Excellent communication and interpersonal skills, with the ability to work collaboratively with project members.
- Strong organizational skills, ability to multi-task and attention to detail.
