Position Summary
The Design Studio Assistant is responsible for a variety of design studio maintenance including, but not limited to assisting in the organization of the design office and studio, as well as assisting designers in client meeting preparation and tasks. This is an entry-level position with opportunities to grow within the design team.
Job Duties and Responsibilities
- Provides a 5-star customer experience to our clients
- Create and maintain designer lot books with required documents needed for client meetings. To include, but not limited to, blacklines, electrical plans, cabinet plans, etc.
- Work directly with purchasing or within Envision to assist designers with pricing in preparation for client meetings
- Process design center paperwork and addendums including documentation filed appropriately after client meetings, and documents uploaded and monitored to DocuSign, ProCore and any other company software or drive location
- Create addendums, clarifications and BOML reporting
- Take pictures and review designer notes to ensure all material and areas captured
- Ensure design studio is always presentable including paper products, snacks and beverages, cleaning supplies stocked, countertops and floors free of debris, and material samples put away and organized after client meetings
- Be the contact person for onsite vendors to help schedule work around client meetings
- Be the first point of contact with clients with a positive, energetic demeanor
- Assist designers with documenting and replacing material samples pre- and post- client meetings
- Work directly with suppliers or vendors when missing or damaged samples need to be replaced
- Assist with organizing and maintaining material sample inventory
- Maintain design calendar to help balance client and maintenance appointments
- Schedule meetings with clients within the timeline provided within process and procedures
- Maintain trackers or logs for progress analysis (i.e. Addendum completion, 3rd party trade updates)
- Follow up with trades to update tracker or logs
- Set up appropriate meeting venue for cleanliness, food and beverages
- Order and pick up food orders for client meetings
- Assist designer in client meetings and site walks for documentation and miscellaneous assistance
- All other Ad hoc projects
Requirements and Qualifications
- Associate Degree in Design, preferred
- Minimum of two years relevant experience
- Experience with Microsoft Office (Outlook / Word / Excel) required
- Experience with DocuSign, Envision or other design center selection options program preferred or willingness to learn
- Advanced communication skills, interpersonal skills, professional appearance, and dependable vehicle are required
- Ability to multi-task and be comfortable working in a fast-paced environment
- Must be a team player and work well with others
- Must have a keen eye for detail
