Position Summary
The Check-Out Coordinator will offer Friendly, courteous, and confidential assistance to all patients, primarily through face-to-face interaction, always exemplifying excellence in customer service. This employee needs to be self-motivated to successfully complete all needed tasks and possesses the desire to learn by accepting feedback well from leadership.
The Check-Out Coordinator will check out patient appointment; schedule follow up and ancillary appointments as ordered; complete reminder calls for in housing imaging, sleep studies, Holter monitors and massage; oversee nebulizer machines and logs; maintain allergy orders, files, paperwork and charting documentation; review and process monthly invoices as assigned and ensure all inventory is well stocked as needed. All while showing kindness and respect in all patient interactions.
Duties and Responsibilities
- Follow all OFH policies per OFH Employee manual and other distributed policies.
- Always follow HIPAA guidelines and respect patients confidentiality in all that is done.
- Always follow OSHA guidelines assuring workplace safety when applicable.
- Work as a cooperative team member with all departments of OFH.
- Maintain open communication with leadership while following the chain of command to assure all issuers are properly addressed.
- Employee should be prompt and productive during their workday.
- Employee should be polite and compassionate while assisting patients or visitors in person or by phone.
- Answer phones in a timely manner.
- All communication with patients by phone or in person should be entered into the patient's chart in a clear, concise, and thorough manner.
- check patients out from their scheduled appointments.
- Schedule all ordered testing and/or follow up appointments as ordered by the provider, following the scheduling guidelines in the Call Center Manual.
- Address all referrals entered at visit.
- Ensure all necessary paperwork is completed for testing as required.
- Ensure mammograph staff have schedule, insurance, and identification cards on scheduled patients. This employee will also lock the non-billable encounters for this date of service.
- Assist patients with Patient Portal and Healow as needed.
- Maintain Allergy documentation and work directly with the allergy staff to ensure all supplies and serums are onsite for treatment.
- Ensure all imaging, stress, and vein scheduled have appropriate pre-certifications for the scheduled testing/ procedures and that appointments are scheduled appropriately
- Ensure all reminder calls are completed for imaging and vein.
- Review and complete monthly invoicing for onsite imaging and doctoring reading in-house studies.
- Complete all assignments from management as directed and in the requested time.
- Manage outgoing faxes, scan folder, encounters, messages, actions, and emails within 48 hours of receipt in office.
- Complete weekly and monthly reports as assigned.
- Assist in coverage of any position or duty when assigned by Team Leader or Management.
