Position Summary: The Office of Student Enrollment (OSE) manages admissions, enrollment, and transfers for students in 3-K through grade 12 in districts 1-32 and 75 (not including charter schools). Additionally, the office oversees Family Welcome Centers (FWCs), which are family-facing offices that conduct enrollment and childcare eligibility transactions. The Office of Student Enrollment supports New York City Public Schools (NYCPS) core mission by designing and implementing enrollment and admissions policies and processes that provide all students with access to high-quality public schools.
The Senior FWC Coordinator organizes community-based and family-facing events and fairs, ongoing internal and external communications efforts, provides management of operational and logistical tasks, and supports analytics and data management work. In addition, this position participates in policy and process decisions that support continuous improvement in managing operations centrally and in the FWCs and enrollment processes administered by the Office of Student Enrollment. Performs related work.

Key Relationships: Works closely with OSE Family Welcome Center Leadership/3-K/Pre-K/Elementary, Middle and High School Admissions Teams, P311 call center staff, and the Special Populations Team. Also works with the Division of Instructional Information Technology (DIIT), and other external partners where applicable.
RESPONSIBILITIES
- Utilizes community partnerships, coordinates family-facing engagement events and fairs in the community related to enrollment.
- Provides community development and assists families with resources and referral services; facilitates an awareness of social needs and trends within the community.
- Assists in the collection, recording, and maintaining of data/information, and assists in the drafting of briefings related to enrollment, districts/schools.
- Facilitates and supports OSE priorities regarding student enrollment.
- Supports the Director in developing coaching tools and coaching interventions for FWC staff.
- Supports the Director in developing and updating guidance documents for FWC staff and developing partnerships with community-based organizations.
- Reviews, coordinates, and monitors transferring processes and trends in enrollment; suggests changes and establishes buy-in for implementation in the FWCs.
- Serves as a resource for program, centrally, and FWC-based staff, regarding admissions, transfers, and enrollment processes, policies, and procedures.
- Collaborates with the FWC Directors to develop structures to resolve escalations and questions regarding transfers and enrollment.
- Coordinates, develops, plans, and manages special projects
- Stays abreast of necessary changes to forms, implements those changes, and ensures translation and distribution to FWCs.
- Manages high level projects and cases that supports the development and implementation of OSE Systems.
- Proposes policy changes to FWC leadership, applying feedback from a variety of stakeholders and making necessary changes that align to organizational goals.
- Conducts site visits to ensure quality assurance and control.
- Manages the data collection and reports creation for cyclical feedback with internal or external partners.
- Represents the FWC Director in internal and external meetings, as required.
Qualification Requirements:
Minimum
- A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or
- High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or
- Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one (1) year of experience as described in “1” above.
Preferred
- Prior experience working with community-based organizations and outreach efforts.
- Excellent project management skills related to planning, organization, problem-solving, and assessment.
- Superior interpersonal and communications skills required to work cooperatively with staff and families to prepare clear and cogent written documents and to make oral presentations.
- Familiarity with NYCPS legacy systems, including ATS, Service Cloud, and MySchools.
- Commitment to efficient, equitable choice processes and excellent customer service.
- Attentive to detail, extremely well organized, able to work under pressure, and meet frequent and changing deadlines.
- Proficient in Microsoft Office applications, including Word, Teams, PowerPoint and Excel.
Salary: $82,000
(Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
