RET Ventures, a venture capital investment firm located in Park City, UT, is searching for an Executive Assistant to provide administrative support to C-level executive and other Senior Leaders at the firm, as well as personal support to the family office. This is an in-office role. We are looking for an experienced EA who can take on new projects as well as act as a sounding board. The ideal candidate will be confident, direct, mature, flexible, and detail oriented.
Responsibilities
- Ownership for all administrative and personal support for Partner / Managing Director with secondary support for a part-time executive
- Manage complex calendars with diplomacy, discretion, and excellent judgment including vetting, prioritizing, and providing recommendations
- Act as the point of contact among executives, employees, clients and other external partners
- Help ensure Partners are properly prepared and on time for meetings
- Schedule meetings and calls ensuring accurate calendar appointments across multiple time zones
- Manage travel (air travel, lodging, dinners, ground transport, etc.) arrangements, which may require frequent changes
- Track daily expenses and prepare expense report
- Ability to start conference room meetings and navigate technology requirements
- Format information for internal and external communication – emails, presentations, reports
- Organize and maintain office and personal files
- Work with internal administrative team to plan and execute onsite and offsite meetings, dinners, conferences, the firm’s annual summit, and other events
- Support executive family for miscellaneous personal assistant tasks
- Assist in planning Board meetings for portfolio companies
- Manage team’s conference and hotel reservations and other logistics for major industry events
- Assist in the management of the firm’s CRM, maintain internal contacts and mailing lists
- Coordinate with other company members to ensure effective communication, follow up and provide reminders on project deadlines and deliverables
- High availability with quick and accurate turnaround
Requirements
- 5+ years as an Executive Assistant and/or Personal Assistant
- Excellent tenure and track record
- Ability to manage multiple projects simultaneously
- Ability to uphold strict confidentiality and discretion
- Excellent MS Office knowledge, Zoom platform, Expensify (or similar expense reporting software)
- Experience in booking complex travel, nationally and internationally
- Experience in preparing Excel spreadsheets, Word documents, and PowerPoint presentations
- Outstanding organizational and time management skills
- Familiarity with office gadgets and applications (printers, copy, scanning, video conferencing)
- Excellent verbal and written communications skills
- Self starter that is able to work well both independently and in a team environment
- Polished, proactive professional with a can-do attitude
Qualifications
- Own your own vehicle and have a valid driver's license
- High school or equivalent (Required) - Bachelor’s degree preferred
- US work authorization (Required)
- Knowledge of Microsoft Office programs including Excel, Word or similar programs
- Demonstrates organizational and time management skills, ability to prioritize tasks, and attention to detail
