Orange Circle Studio/ Studio Oh!, A Gift and Stationery products developer and wholesaler located in Irvine, is now seeking a qualified production Admin to support our dynamic growth.

Key Responsibilities:
Review Shipping Documents and Update Shipment Tracking:
- Ensure timely receipt of necessary documentation (invoices, packing lists, manifests) from factories.
- Verify shipping documents against purchase orders in SAP, correct errors, and ensure compliance with company requirements.
- Create receiving reports for all shipment types and file documents in designated folders.
- Track shipment status from daily reports and promptly update the spreadsheet and SAP.
- Communicate expected delivery times to other departments as requested.
Documentation and Receiving:
- Provide the required documents to customs brokers promptly upon shipment arrival at the port.
- Ensure the warehouse receives all necessary shipping documents.
- Upload the documents to SAP and work closely with the accounting department to ensure timely and accurate receiving of orders.
DI Bookings Management:
- Compile required documentation from factories and the accounting department.
- Follow booking requirements for different accounts and submit bookings to the appropriate freight forwarder.
- Monitor goods handover from factories to forwarders and resolve issues efficiently.
- Immediately report any problems or anomalies to management.
Carton Labels:
- Use various label templates and EDI portals to create carton labels tailored to customers’ requirements.
- Review labels thoroughly for accuracy, ensuring no errors.
FedEx Shipments:
- Create and print accurate FedEx shipping labels.
- Carefully pack sample items to ensure safe transit.
- Communicate with FedEx to resolve any problem with delivery delay or lost package.
New Item Creation in SAP:
- Create new items in SAP within 48 hours of request. Cross-check item details to ensure accuracy.
- Follow up with Production Coordinators to address any missing or incomplete information and ensure timely updates.
- Maintain thorough and organized records of item creations.
General Responsibilities:
- Ability to multi-task under time constraints.
- Knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Collaborate and communicate seamlessly across all departments.
- Assist other team members as needed.
- Perform other duties as assigned.
- Must be eligible to work in the U.S.
Job Type: Full-time
Pay: $21.50 - $24.00 per hour
Expected hours: 40 per week
