Job Summary:
The Volunteer, Services and Support Coordinator is primarily responsible for managing the day-to-day activities surrounding service delivery and volunteer recruiting and retention. This includes the data input and output management of tutor, volunteer and learner files, enrolling learners seeking to increase their literacy skills, enrolling volunteers, matching learners with trained volunteer tutors, volunteer recognition and retention activities, and participating in activities to recruit volunteers. This position also supports executive record keeping and reports to the Executive Director.
ESSENTIAL FUNCTIONS:
1. Volunteer Recruitment & Oversight:
a. Develop annual strategic plan for recruitment and retention of volunteers (and learners).
b. Facilitate informational sessions, complete background checks and register and coordinate the tutor training schedule in conjunction with program directors.
c. Provide initial orientation sessions and match volunteers with learners.
d. Coordinate multiple annual volunteer recognition/appreciation events and provide periodic gifts to volunteers.
e. Publicize and promote the WALC programs by participating in presentations, public speaking events, and other community activities.
f. Keep current and prospective volunteers informed on upcoming events through written, verbal and social media methods.
g. Collect progress reports from all active volunteer tutors.
2. Learner Services Coordination:
a. Enroll learners to all programs by providing them with information on WALC’s programs and assists with completion of intake forms.
b. Provide initial orientation sessions with learners.
c. Maintain an updated waiting list of learners needing services and regularly review volunteers to seek matches.
d. Contact business and industry representatives to identify learners (and volunteers).
3. Administrative Support & Other Duties:
a. Update and keep current databases of volunteer, tutor and learner information including, but not limited to, demographics, tutoring hours, services delivered, eligibility for certain funders and maintaining all contact lists for learners, volunteers, business contacts and WALC staff.
b. Facilitate data collection for grant reporting.
c. Maintain an organized databases and paper filing system.
d. Maintain relationships between the agency and learners and volunteers.
e. Attend meetings, trainings, and workshops, as needed or as assigned.
f. Assist with gathering learner/tutor success stories and pictures.
g. Keep informed of trends and issues in the field of literacy.
h. Coordinate and participate in WALC events and on-going projects with other staff members.
i. Answer and reply to telephone, email and other electronic messages and correspondence in a timely manner.
j. Assists Executive Director with administrative tasks including but not limited to recordkeeping, reporting, and other administrative tasks.
k. Other duties as assigned.
Job Type: Full-time
Pay: $18.27 - $19.23 per hour
