Dataspoon is seeking an experienced professional who can manage an office, support employees, and provide a welcoming experience for our guests. The ideal candidate will have a strong work ethic, a sense of urgency, and the ability to prioritize and execute tasks effectively. Key Responsibilities:
- Manage email and calendar: scheduling meetings, appointments, conference calls, and coordinating internal/external engagements.
- Act as the first point of contact for employees and guests, leading with strong customer service. Provide information and assistance to enhance their experience with our company.
- Support management and staff by handling tasks such as booking travel arrangements and accommodations.
- Coordinate company events, including office-wide meetings, executive off-sites, and board meetings.
- Ensure that all office-related bills are paid promptly and accurately. This includes tracking due dates, verifying invoices, and managing payment schedules.
- Prepare detailed monthly expense reports for executives and team members, providing a clear overview of their expenditures. Highlight any discrepancies and ensure proper documentation for all transactions.
- Build and maintain strong relationships with various vendors providing services to the office, such as cleaning, maintenance, and IT support. Address any issues or concerns promptly and professionally, coordinating with vendors to find solutions and improve service quality.
- Maintain and replenish office supplies as needed.
- Ensure office spaces are comfortable, functional, and regularly maintained.
Qualifications and Experience:
- Excellent communication and writing skills, capable of maintaining strong relationships with employees and senior stakeholders, and providing exceptional customer service.
- Tech-savvy with proficiency in typing, spreadsheets, and various office software.
- Proven experience in scheduling/calendar management and travel arrangement.
- Experience in event coordination and vendor management.
- Experience in building and supporting aspects of the employee experience, focusing on engagement and satisfaction.
- Exceptionally detail-oriented and organized.
Preferred Qualifications:
- Proficiency in Google Suite
- Able to type 45 wpm
- Experience with Apple (a plus)
