The Facilities and Procurement Coordinator position resides in the Facilities department at CableLabs. This department This department provides facility management of three offices, including maintenance, reception and procurement. Our team plays a crucial role in assisting all employees to reach and maintain their company goals.
Why This Role Is Exciting
The Facilities and Procurement Coordinator will process select department invoices for payment, reconcile multiple corporate credit card accounts, place office supply orders, order companywide purchases of hardware, software, support contracts, etc. through our Purchase Order application, process catering orders for onsite meetings, manage the setup of catered events and provide periodic regular support at the front desk reception.
What You’ll Do

Process Purchase Order requests, obtain approvals and confirm approvals with legal.
- Create and distribute asset tags for capital purchases.
- Notify requestors when they have received their order and update JIRA tickets with all pertinent information during the ordering process.

Manage updates to the Purchase Order application and/or process:
- Adding new project codes, users, expense codes, yearly update to asset tag prefixes, etc. Updating the JIRA Ticket system with new project codes as they arise.

Provide part-time support at the front desk to greet visitors, print badges, receive packages, and coordinate welcome activities for conference and meeting guests. This role with cover all front desk reception duties as needed.

Manage catering requests from departments across the company where there are ten or more attendees. Receive, order, and track catering requests. Ensure the catering area meets the needs of the department (confirming beverages, plates, utensils etc. have been stocked) and that the catering area is cleaned up by the caterer following the event. Process associated invoices for approval and deliver to accounting.

Create new hire and replacement business card orders for staff.

Process vendor invoices daily for the select departments. Reconciliation of multiple corporate credit card account statements at month end, deliver associated AP Vouchers via online tool, to manager, Accounting and Accounts Payable for approval and processing for payment.

Process special office supply orders and stock items.

Assist with ordering kitchen supplies.

Other duties as assigned.
What Is a Must Have

This position is full-time Monday through Friday. Due to the flexibility of the position, the ability to work hours outside of those may be required.

Effective verbal communication skills are required.

Must possess valid Colorado driver’s license, good driving record and have daily access to a dependable vehicle.

Ability to make supply runs and pick up catering as necessary.

Ability to lift 30 pounds safely unassisted.

Ability to read, write and speak English.

Computer knowledge – utilizing MS Outlook (e-mail and calendars), MS Word and MS Excel required.

Experience in File Maker Pro, Dropbox Sign, DocuSign preferred.

Compensation: The salary range is $60,250 - $73,750. This position is eligible for bonus incentive compensation up to 15% of base salary.

This job operates in a professional office environment. This role routinely uses standard office equipment. May be required to lift, move and transport related equipment up to 30lbs.
