Job Description
Job Title: Executive Assistant
Location: USA
Work model: Remote
Travel Requirements: 5% of travel in the United States
Reports to: Chief Executive Officer & Office
Job Summary:
The Executive Assistant will provide personal and administrative support for the Chief Executive Officer (CEO) and Care Leadership Team (CLT). This individual will be focused on optimizing the workload that falls on the leadership team while serving as a resource to the larger group. The Executive Assistant collaborates with the CMO and other members of the CLT, Indigenous Pact and Guardian team members, and client(s)- both internal and external to provide a high touch seamless experience.
Essential Job Functions:
To be successful this individual will need to be detail-oriented, organized, proactive, resourceful, and possess great interpersonal skills with a professional disposition.
- Proactively anticipates needs and manages a holistic view of priorities and deliverables for the CEO.
- Supporting the CEO and other senior leadership team/executives with any of their administrative, financial, and managerial tasks, including, but not limited to, those listed below.
- Conserves CEO's and leadership team's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
- Proficiently managing a calendar of appointments, meetings, and obligations; Sending calendar and meeting invites and reminders as required.
- Manage, organize, and respond to multiple inboxes whilst prioritizing emails
- Coordinate executive and company-wide schedules, conferences, meetings, teleconferences, and travel arrangements, including bookings, itineraries, and agendas.
- Organizing team retreats and offsites, including team-specific events.
- Drafting and updating correspondences, summaries, and presentations for various executive and management staff.
- Answer and respond to phone calls, communicate messages and information to the executives in a timely and accurate manner
- Preparing meeting agendas and itineraries, reports, budgets, forecasts, and support to collect and analyze information where required
- Performing general clerical duties, including recording, transcribing, and compiling meeting minutes and summaries.
- Assisting with event planning and special projects or research as required.
- Maintain and improve the collection, storage, and maintenance of company documents, NDAs, contracts, etc. while upholding confidentiality at all times of all sensitive company information and documents
- Acts as the point of contact among leadership, team members, clients, and other external partners while building relationships at all levels
- Assisting with any other administrative duties/requests as requested by management/leadership
Qualifications and Skills:
- Bachelor's Degree in related field is highly desirable.
- 3-5 years prior experience in supporting an executive/leadership team in a virtual business environment.
- Motivated to learn and take on additional responsibilities.
- Demonstrates ability to take ownership of assigned projects and exercises resourcefulness and creativity in selecting methods and techniques for obtaining solutions.
- Effective communication skills (oral, written, and listening) and ability to present and convey ideas, thoughts, and information clearly and concisely and in a timely and highly responsive manner.
- Possesses a can-do approach with a positive attitude and thrives in a fluid work environment.
- Highly refined interpersonal and social skills, comfortable communicating and interacting with multiple stakeholders.
- Works well independently or collaboratively pursuing quality in projects and outcomes.
- Proficient computer skills with experience with Microsoft Office Suite programs, Adobe, PDF, and various other communication and organization tools.
